Job Role: Client Success Coordinator
Compensation range: $1,000 AUD - $1,200 AUD / Monthly
Engagement type: Independent Contractor Agreement
Work Schedule: This role requires 15-20 hours per week. As a contractor, you’ll have flexibility in how you manage your schedule, but availability for occasional collaboration during AU business hours is preferred (4-5 hours per day, 4-5 days per week, during Australian Business Hours is preferred).

Role Overview: The purpose of this role is to coordinate and execute the administration of client programs to ensure they are delivered to an exceptionally high standard. This role includes coordinating and conducting client facing meetings. You will provide critical administrative and operational support to coaches and internal teams, ensuring they are fully equipped to deliver transformational experiences for our clients.
Key Responsibilities:
Coordinate and schedule client programs
- Execute the administration of all programs from point of Handover from the sales team to program completion; including client and participant onboarding, scheduling program and stakeholder review sessions, sending out and collecting participant preparation, compiling feedback reports
- Send program and session preparation, including DISC assessments, program portals and goals to participants on time and follow up to ensure completion by due date
- Collate all administrative preparation for coaches to support them to be well-prepared for program delivery
- Partner with coaches to ensure all communication with clients is professional, efficient and cohesive
- Maintain accuracy and completeness of program management software, ensuring records are up to date at all times, including Monday.com, Sharepoint etc
- Lead internal Program WIP meetings
Program Management Systems
- Ensure all program management platforms are up to date at all times with client organisation and participant contact information, program delivery information, dates, venues, prework, attendance, portal access, surveys completed etc
- Action program administration tasks on time to maintain up to date records and WIP dashboard
Client Onboarding
- Initiate professionally warm and timely contact with client administration stakeholder/s to schedule Program Success Meetings (PSM)
- Conduct PSM with client administration stakeholder to coordinate program logistics
- Onboard clients in a timely, efficient and professional way to ensure all participants experience a high level of service
- Inform coaches with program and session preparation information
- Ensure coaches are updated with any program changes in a timely manner
Program and Event Support
- Provide logistical support for program sessions and events
- Coordinate room bookings, order catering, manage office supplies and order as required
- Maintain supplies to ensure office and program needs are catered for in advance
- Order DISC codes in advance to ensure no delays to program delivery
Process Improvements
- Identify and implement approved process and system improvements to increase efficiency and effectiveness of program delivery
- Proactively utilise AI to continually improve efficiencies in all responsibilities and the achievement of KPI’s

Work Arrangement & Expectations:
This is a remote role that may be set up as either an independent contractor engagement or via an Employer of Record (EOR), depending on client preferences and legal structure.
To ensure alignment and transparency, successful candidates will be expected to:
- Be available for meetings and collaboration during core [9am - 5pm AEST/AEDT] business hours
- Disclose any existing ongoing roles or client work
