Duties & Role:
Scope of work
- Provide logistics and asset management services covering the receipt, storage, distribution, movement, inventory, accountability, and disposal of CIS assets.
- Maintain accurate asset records, support warehouse operations, coordinate with technical and logistics personnel, and ensure timely delivery of logistics services in accordance with organizational policies and applicable procedures.
Deliverables:
- Accurate and up-to-date CIS asset accountability records.
- Timely processing and documentation of all logistics and asset management transactions.
- Support for successful completion of annual inventory inspections and resolution of inventory discrepancies.
- Proper receipt, inspection, labelling, storage, and distribution of CIS assets within CSU AoR.
- Regular reporting on asset status, inventory activities, and logistics actions, as required.
- Cooperating with technicians to ensure that the correct CIS equipment is requested to satisfy the user's requirement;
- Monitoring the process of deliveries/shipments of goods/services to/from Warehouse, checking for quantity and quality, labelling, issuing to End-of-User;
- Liaising closely with internal LOG Section Head and LOG staff and providing assistance as required;
- Provide recommendations to improve logistics processes, asset accountability, and operational efficiency.
- Logistics services delivered in compliance with applicable procedures, policies, and performance standards
Duties and roles:
- Maintain accurate property accounting records for CIS assets within the logistics management system (CSU AoR in LOG database)
- Manage the lifecycle of CIS assets, including requisition, receipt, storage, distribution, transfer, exchange, movement, and disposal.
- Support periodic and annual inventory inspections, reconcile records, and resolve asset discrepancies.
- Monitor warehouse activities, including receiving, inspection, labelling, storage, and issuance of equipment to end users.
- Coordinate with technical staff (with internal LOG Section Head and LOG staff) to ensure requested CIS equipment meets operational and user requirements.
- Ensure logistics support activities are delivered in accordance with applicable procedures and Service Level Agreements (SLAs).
- Liaise with logistics personnel, warehouse staff, and asset account holders to coordinate logistics and asset management activities.
- Prepare and maintain logistics documentation, asset records, and supporting reports.
- Identify process improvements and provide recommendations to enhance logistics efficiency and asset accountability.
- Perform assigned duties independently with limited supervision and undertake additional tasks as directed by the Logistics Section Head.
Requirements
Skills, Knowledge & Experience:
- The candidate must have a currently active NATO SECRET security clearance
- Higher vocational training in a relevant discipline with 2 years post-related experience, or a secondary educational qualification with 4 years post-related experience;
- Vocational Training in Supply, Logistics or Supply Chain Management;
- Proven understanding of Asset Acquisition procedures;
- Proven ability to cooperate and advise on the technical aspects of ICT equipment;
- Practical experience in the use of working with ORACLE ERP Logistics and Asset management modules;
- Experience in activities which involve the provision of administrative assistance to compile, verify, record and process forms and documents, in accordance with NCI Agency directive/guidance;
Desirable qualifications:
- Practical experience in the use of NATO resource management tools;
- Knowledge and proven experience in the use Oracle Business intelligence for Logistics or Microsoft Power BI;
- Prior experience of working in an international environment comprising both military and civilian elements;
- Knowledge of NATO responsibilities and organization, including ACO and ACT.
- Knowledge of NATO CIS assets regulations and local logistics regulations for NATO HQ.
- Knowledge and practical experience in using Microsoft Excel and SharePoint
