Schrödinger seeks a Senior Event Specialist to join us in our mission to transform the discovery of therapeutics and materials.
Schrödinger has pioneered a physics-based software platform that enables discovery of high-quality, novel molecules for drug development and materials applications more rapidly and at lower cost compared to traditional methods. The software platform is used by biopharmaceutical and industrial companies, academic institutions, and government laboratories around the world. Our multidisciplinary drug discovery team also leverages the software platform to advance collaborative programs and its own pipeline of novel therapeutics to address unmet medical needs.

What you’ll do:
- Coordinate end-to-end logistics of Schrödinger’s conference participation, including booth management, shipping logistics, vendor coordination, and on-site execution
- Manage event storage and inventory, ensuring materials are properly labeled, tracked, and maintained between events
- Coordinate event-related logistics for staff and speakers, registrations, booth assignments, and lead capture tools
- Track event deadlines, maintain organized documentation, and communicate timelines and updates to internal stakeholders
- Liaise with event organizers, contractors, and exhibit vendors to ensure seamless setup and execution
- Support lead capture, tracking, and post-event reporting to evaluate performance and ROI
- Assist in planning and coordinating Schrödinger’s webinars by supporting scheduling, speaker coordination, dry runs, and live event management
- Prepare run-of-show documents and ensure timely completion of post-event tasks
What you should have:
- Bachelor’s degree in Marketing, Chemistry, Biology, or a related field
- One to two years in field marketing (experience in a scientific software environment is preferred)
- Capability to travel 15-25% of the time
- Ability to lift and move boxes up to 50 pounds
- Interest in learning event technology platforms (e.g., Bizzabo, Zoom, Salesforce)
Estimated base salary range: $70,000 - $90,000. Actual compensation package is dependent on a number of factors, including, for example, experience, education, degrees held, market data, and business needs. What You Would Get To Do
In this capacity, the ideal candidate would represent the FIRST brand embedded within a Solutions account for a Financial Services company. FIRST Solutions is the proprietary strategic meetings management model offered by FIRST, which embeds specialist talent into organizations to provide Content, Creative, Digital Technology, Management & Delivery, and Data & Insights. The Associate Project Manager will consistently deliver exceptional service to our high-touch clients through excellent project management and creative solutions. This position will support virtual, in-person and hybrid events which include but are not limited to; internal programs, client-facing events including conferences, hospitality, thought leadership, sporting, and cultural programs. Your Contributions
- Full life-cycle planning and execution of multiple key events in a virtual, in-person and hybrid capacity
- Financial management, including: budget development and management, expense management and invoice processing, timely post-meeting reconciliation and final financial reporting
- Sourcing, negotiating and managing site selections, contract management for venues and suppliers
- Coordinate registration, food and beverage, transportation, hotel accommodations, entertainment, gift selection, audio/visual needs, webcasts, staging and speaker selection for all programs; strong focus on vendor management
- Work seamlessly with key internal partners on event deliverables (i.e. Marketing for print and digital design and collateral elements, Production on Audio Visual, Event Technology team on web builds, data team on attendee management, Legal and Compliance as required, etc.)
- Virtual event planning and project management including confirming appropriate virtual platform, creation of timelines, invitation process, thorough and regular communications to attendees, suppliers and stakeholders
- Ensure adherence to the client’s standards of operation and policies and that compliance and risk guidelines are followed
- Travel when applicable for site inspections and on-site management of live events to ensure full coordination of logistics and on-site teams for in-person events
- Post event wrap up including final attendees, budget reconciliation, observations, as well as client debriefs for year over year improvements
- Track time spent to projects to accurately reflect the work being done
- Co-plan with colleagues and the client on larger scale programs; strong team player
- Share knowledge of best practices, new suppliers, services and venues

What You Would Get To Do
The Project Manager is responsible for supporting clients with both internal and client-facing events and conferences, delivering exceptional service through effective project management and creative solutions. Below is the expected base salary for this position. This is a good-faith estimate of the base pay scale for this position and offers will ultimately be determined based on experience, education, skill set, and performance in the interview process.
