About the role
We are looking for a detail-oriented Junior Administrative Assistant to support an Administration and Finance team. This is an excellent opportunity for someone starting their career and looking to grow within administrative and financial operations in a structured corporate environment.
Duties / Tasks to perform
- Support client collections processes, including payment follow-ups and reminders.
- Manage and track accounts receivable (monitor aging reports and support the reduction of overdue balances) and accounts payable (AP).
- Prepare and send invoices to clients using internal platforms (e.g., Stripe, Wise, Bill.com).
- Record, classify, and reconcile financial transactions in systems such as QuickBooks Online.
- Organize, file, and maintain administrative and financial documentation.
- Support expense tracking and budget monitoring processes.
- Assist in the preparation of financial and operational reports.
- Provide general administrative support to the Administration and Finance team.
- Communicate professionally with clients and vendors as needed.
- Identify opportunities to improve processes.
- Assist in processing payroll payments to employees and contractors through internal platforms.
- Support payroll preparation, including data validation, calculations, and review.
- Provide support in payroll-related processes and compliance with parafiscal obligations.
Requirements
- Technical degree or university studies in Administration, Finance, Accounting, or related fields (in progress or completed).
- Previous administrative or finance-related experience is a plus, but not required.
- Intermediate English level (written and verbal communication).
- Basic proficiency in Microsoft Office, especially Excel.
- Familiarity with accounting or payment platforms such as QuickBooks Online, Stripe, Bill.com.
- Basic knowledge of payroll processes and parafiscal contributions (required).
- Strong organizational skills and attention to detail.
- Effective communication and teamwork skills.
- Proactive mindset with accountability and time management abilities.
- Ability to handle multiple tasks and meet deadlines.
Schedule: Monday to Friday, 8:00 AM – 5:00 PM EST (full-time, on-site)
