We are seeking a highly organized and proactive Executive Assistant to support our real estate team. The ideal candidate will have strong experience in preparing Offering Memorandums (OMs), managing social media platforms, and handling professional correspondence. This role requires excellent communication skills, attention to detail, and the ability to thrive in a fast-paced environment.

Key Responsibilities

  • Offering Memorandums (OMs)
    • Draft, design, and edit professional OMs for property listings and investment opportunities.
    • Coordinate with brokers, analysts, and designers to ensure accuracy and presentation quality.
    • Maintain templates and update property data for marketing materials.
  • Social Media Management
    • Develop and execute social media strategies to promote listings, company updates, and brand awareness.
    • Create engaging content (posts, graphics, videos) tailored to platforms such as LinkedIn, Instagram, Facebook, and X (Twitter).
    • Monitor analytics and engagement to optimize campaigns.
  • Email & Communication Support
    • Manage executive inboxes, draft responses, and prioritize communications.
    • Schedule meetings, coordinate calendars, and follow up on client inquiries.
    • Ensure timely and professional correspondence with clients, partners, and internal teams.
  • Administrative & Operational Support
  • Assist with document preparation, filing, and transaction coordination.
  • Support marketing campaigns and property tours.
  • Handle confidential information with discretion.

Qualifications

  • Proven experience as an Executive Assistant or similar role in real estate or professional services.
  • Strong knowledge of real estate marketing materials, especially OMs.
  • Proficiency in social media platforms and content creation tools (e.g., Canva, Adobe Suite).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Tech-savvy with proficiency in Microsoft Office, Google Workspace, and CRM systems.

Preferred Skills

  • Familiarity with real estate terminology and transaction processes.
  • Experience in digital marketing and analytics.
  • Graphic design or copywriting background is a plus.
