We are seeking a highly capable, full-time Senior Executive Assistant to directly support the Founder of a growing coaching business. This individual will replace the current Executive Assistant (who is transitioning into another division) and step into a strategic, leadership-level support role.

This is not a traditional admin position. The ideal candidate will think like the Founder, make aligned decisions independently, manage client touchpoints, track program progress, and oversee team execution to ensure objectives are met.

You will act as a right-hand partner — protecting the Founder’s time, maintaining operational clarity, and driving accountability across the business.

Job Responsibilities:

 Executive Support & Decision-Making

  • Attend leadership and client calls; capture key action items and decisions
  • Make day-to-day decisions aligned with client’s leadership style and priorities
  • Anticipate needs and proactively remove operational bottlenecks
  • Serve as a filter and strategic gatekeeper

 Client Experience & Program Oversight

  • Maintain consistent client touchpoints throughout the six-week coaching program
  • Track participant progress and ensure milestones are met
  • Document interactions, outcomes, and follow-ups
  • Ensure a high-quality and consistent client experience

Team Leadership & Accountability

  • Oversee and coordinate team members
  • Delegate tasks and ensure timely completion
  • Monitor KPIs and project timelines
  • Hold the team accountable to objectives and standards

Operations & Documentation

  • Maintain clear documentation of processes and interactions
  • Track action plans and ensure execution
  • Support continuous improvement of systems and workflows

Requirements

Required Qualifications

  • 3-4+ years of experience as a Senior Executive Assistant, Chief of Staff, or Operations Lead
  • Strong leadership presence and decision-making ability
  • Experience supporting founders, coaches, or service-based businesses
  • Excellent written and verbal English communication skills
  • Highly organized with strong follow-through
  • Comfortable attending calls and representing the executive confidently
  • Ability to manage multiple priorities without constant supervision

Preferred Qualifications

  • Experience in coaching, consulting, or personal development industries
  • Familiarity with CRM and project management tools
  • Experience overseeing remote teams
  • Strong emotional intelligence and client-facing confidence
