About the role
We are looking for a Patient Care Coordinator and Lead Conversion Specialist to join a highly successful, fast-growing dental practice located in DeLand, Florida. The out-of-network practice maintains an exceptional 90-95% patient retention rate. They provide elite, full-service dentistry—specializing in high-value cases including dental implants, full-mouth reconstructions, wisdom teeth extractions, and clear aligners.
Having just brought on a new associate dentist, the providers have open chair time that needs to be filled.
To fuel this expansion, they run aggressive digital marketing campaigns that generate thousands of patient inquiries. That is where you come in. The practice is looking for a highly driven, self-motivated remote professional to take complete ownership of our patient outreach pipelines.
The Unique Focus of This Role
Unlike traditional remote receptionist roles, you will not be tied down handling live, inbound office phone calls. Our local, on-site front desk team in Florida handles the daily inbound traffic, patient check-ins, and local workflows.
Your job is 100% focused on outbound growth, database mining, and lead conversion. You will be the engine behind our schedule, dedicated entirely to hunting down pipeline opportunities, converting digital ad leads, and reactivating our historic patient base.
Core Responsibilities
High-Volume Marketing Lead Conversion
- Turn Leads into Patients: Take full ownership of an active pipeline of digital marketing leads (generated via Google and Facebook Ads).
- Rapid Speed-to-Lead Follow-up: Reach out to warm digital inquiries instantly via phone and text using our Mango Voice VoIP system, educating them on our full-service clinical offerings and booking them into the schedule.
- Lead Tracking Management: Meticulously track, tag, and move prospective patients through our lead management software and Fuse EMR.
Massive Patient Database Reactivation
- Mine the Recall Pipeline: Attack a robust reactivation ledger (pages of historic patient recall files) to contact, re-engage, and win back overdue hygiene and restorative patients.
- Keep the Hygiene Chairs Full: Strategically schedule patient encounters to ensure our full-time and part-time hygiene blocks remain 100% utilized with zero empty gaps.
Out-of-Network Insurance Verification
- OON Breakdown Processing: Contact insurance providers to secure comprehensive verification of benefits for out-of-network PPO plans and select Humana Medicare dental plans.
- Financial Transparency Presentation: Document clear insurance breakdown notes so our local team can confidently explain out-of-pocket costs to patients.
Requirements
Required Qualifications (Non-Negotiable)
- U.S. Dental Domain Expertise: Minimum 2 years of direct experience handling dental scheduling, dental insurance verification, or treatment coordination for a U.S. practice.
- Outbound Sales or Lead Conversion Muscle: Proven experience managing a high-volume outbound calling environment. You must genuinely enjoy the phone, exhibit high energy, and possess the grit required to convert cold or lapsed records.
- Clinical Literacy: Strong, conversational familiarity with dental terminology, particularly mid-to-high value procedures (implants, aligners, cosmetic cases, wisdom teeth).
- Phonetic Excellence: A flawless, highly professional, and welcoming English phone presence. You must be able to build instant trust with residents of Florida over the phone.
- Remote Ecosystem: A highly secure, silent home office workspace compliant with HIPAA privacy laws, utilizing high-speed internet and a mandatory automated time-tracker.
Highly Preferred Experience
- Hands-on operational experience inside Fuse EMR or the Mango Voice phone system.
- Experience specifically handling leads generated from digital marketing agencies (e.g., Energize Marketing).
