About Mindful Support Services
We are a business to business support service for independent mental healthcare practitioners, which helps providers service a growing client base. We provide administrative and organizational services to simplify the processes of sourcing leads, marketing, billing and collecting payments from patients and insurers. We have grown to support over 2,500 mental healthcare providers since we opened in 2011.

About the Role
The Area Manager is a key operational leader responsible for driving performance, professionalism, and operational excellence across multiple offices within a defined area, initially Colorado, Arizona, Nevada and Texas. This role anchors in Colorado and translates company and regional priorities into actionable plans at the office level, fosters strong and healthy office cultures, and ensures provider and client front-of-house experience standards are consistently met.
The Area Manager leads with a strategic, growth-oriented mindset, leverages data and metrics to inform business decisions, and continuously identifies opportunities to improve efficiency, quality, and provider success while collaborating closely with the Director of Provider Services. This position is ideal for a multi-site operations leader who thrives in a fast-moving, high-growth environments and is energized by opening and scaling new markets.
Leadership and Team Management:
- Set clear, state-specific targets for each office (e.g., monthly visit volume, provider utilization, FOH service metrics) and ensure Office Managers understand and own these goals and regularly report progress against those goals.
- Tie coaching, recognition and performance management to achievement of area and state-level KPI’s, reinforcing a culture of accountability and continuous improvement.
- Handle escalated provider concerns and sensitive staff matters within the area with discretion, professionalism, and sound judgment; escalate when appropriate.
- Provide insights and recommendations to senior leadership based on regional performance and market trends.
- Contribute to the development and implementation of long-term strategic growth and goals for the organization and be able to disseminate those strategies to tangible goals for your team.
- Identify and mentor high-potential staff to prepare them for future leadership roles within the company.
Operational Excellence and Performance Management:
- Manage and monitor the day-to-day operations of multiple locations within the designated management area to ensure efficiency, productivity, and compliance with company standards.
- Maintain a standardized area scorecard that includes at minimum appointment volume, provider utilization, cancellation/no-show rates, office utilization, turnover and revenue by office and by state.
- Analyze performance by state and office, identify under – and – over performance, and implement targeted action plans (staffing, training, workflow changes) to close gaps and support growth.
- Establish minimum performance thresholds and escalation protocols when offices or states fall below target, ensuring timely intervention and follow-through.
- Partner with finance, client services and provider services leadership to forecast volume and revenue growth for owned area and track actuals against plan, flagging risk and opportunity early.
Strategic Execution and Change Management
- Use performance and growth data to prioritize which markets receive additional resources, require workflow adjustments or process improvement and document the impact on key metrics post-implementation
- Contribute to the execution of long-term strategic growth goals by translating regional and company strategies into tangible office‑level objectives and team goals.
- Lead and manage projects aimed at expanding services, improving operations, and enhancing provider satisfaction and client care within the area.
- Engage staff in change initiatives, fostering a culture of continuous improvement, adaptability, and innovation.
Communication and Alignment
- Serve as a key connector between office level operations and regional leadership, ensuring priorities are clearly communicated, understood, and implemented.
- Communicate area level performance, challenges, and opportunities to the Regional Manager and Director of Provider Services through regular, structured updates and reports.
- Provide field informed insights and recommendations based on area performance and market trends to support regional decision-making.
- Ensure office teams understand company initiatives, goals, and changes, and can translate them into day-to-day actions and behaviors.
Requirements
Qualifications
- 5 or more years of experience in a leadership role, with multi-location management experience strongly preferred.
- 3 or more years of experience overseeing management level staff (e.g., Office Managers, supervisors).
- Bachelor's degree in Healthcare Administration, Business Administration, Management, or a related field preferred but not required.
- Strong track record of strategic thinking and execution at the office/area level, with measurable improvements in performance and growth.
- Excellent leadership, communication and interpersonal skills, with a proven ability to motivate and inspire teams to achieve goals.
- Demonstrated ability to manage complex or sensitive situations with excellent judgment, discretion, and professionalism.
- Demonstrable project management experience with the ability to coordinate multiple stakeholders, maintain timelines and communicate effectively through different milestones.
- Analytical mindset with the ability to interpret data, identify trends, and develop actionable insights.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to travel frequently within the designated territory, with additional travel outside the area as needed.
