About the role
This position is responsible for serving as the primary point of contact at the shipping and receiving window. The Window Clerk checks in drivers, verifies appointment and shipment information, communicates with carriers, warehouse personnel, and office staff, and ensures accurate documentation for inbound and outbound freight. This role supports timely dock flow, accurate paperwork, and safe, efficient warehouse operations.
ESSENTIAL FUNCTIONS
- Greet and check in drivers at the shipping and receiving window.
- Verify driver paperwork, appointment times, load numbers, carrier information, and shipment details.
- Assign dock doors and communicate loading/unloading instructions to drivers and warehouse personnel.
- Print, organize, and maintain shipping and receiving documents, pick lists, bills of lading, labels, and related paperwork.
- Answer phone calls and emails related to carrier arrivals, appointments, shipments, and dock activity.
- Monitor driver sign-in and sign-out activity for truckload and LTL shipments.
- Communicate delays, discrepancies, damages, or paperwork issues to supervisors and appropriate departments.
- Maintain accurate records and support compliance with company safety, security, and shipping procedures.
- Maintain a safe, clean, and organized window and office work area.
POSITION QUALIFICATIONS
Experience
- 1 to 3 years of experience in a warehouse, distribution, shipping, receiving, logistics, or customer service environment preferred.
Education
- High School Graduate or General Education Degree (GED) Minimum.
SKILLS & ABILITIES
Computer Skills
- Ability to multitask in a fast-paced warehouse office environment.
- Ability to communicate professionally with drivers, carriers, warehouse associates, supervisors, and office personnel.
- Strong attention to detail and accuracy when reviewing paperwork and entering information.
- Good math, reading, writing, and verbal communication skills.
- Problem-solving skills and ability to follow up on shipment or paperwork discrepancies.
- Ability to work overtime or adjusted schedules when business needs require.
- Bilingual English/Spanish skills preferred, but not required.
PHYSICAL DEMANDS
- Position requires sitting, standing, walking, and communicating at the service window throughout the day; must be able to lift, push, or pull up to 10 pounds.
- Vision (Near, Distance, Depth Perception); Sense or Touch
- Ability to wear Personal Protective Equipment (PPE) (Safety glasses, hearing protection in some cases.)
