About the role
We are hiring a Head of Operations to be the operational backbone of Cube RM - the person who makes sure the company runs as well as the product we build. You will report directly to the CEO, lead a small ops team, and own everything from company-wide processes and SOPs to cross-functional projects and leadership coordination.
This is not a purely strategic role. You will be hands-on. You will write the SOP, send the email, fix the broken process, run the meeting - not just design the system around it. At the same time, you will operate at the leadership level and be trusted to act as a proxy for the CEO when needed.
Responsibilities
- Operations Design & Management
Build, maintain, and monitor how Cube RM runs as a company. Define processes, close gaps, and create visibility into what is working and what is not — across every function. You are accountable for operational health company-wide.
- SOP Governance
Own the company-wide SOP library. Every recurring process — admin, HR, finance, sales handoffs, delivery — gets documented, owned, and kept current. You create where there is nothing. You fix what is broken. You audit what exists.
- Daily Operations
Oversee operational execution across admin and finance ops — coordinating their work, removing blockers, and ensuring cross-functional handoffs do not fall apart. - Strategic Projects
Own initiatives that span teams and do not fit neatly into one function. You carry them from kick-off to close. No orphaned projects. No accountability gaps. - Leadership Team Coordination
Organize and follow-up leadership meetings: agenda, facilitation, documented decisions, follow-ups. Track OKRs. Support board and investor preparation alongside the CEO. - HR Operations
Own hiring process execution, onboarding, offboarding, contracts, and HRIS. You run the process; hiring decisions are made collaboratively with the relevant teams. - Internal Communications & Culture
Own all-hands, company announcements, and team engagement initiatives. Keep the company aligned and informed as we scale.
How We Expect You to Work
AI is not a tool you use occasionally at Cube RM — it is the operating layer. Every process you build should have an AI-first default. Every SOP you write should ask: can this be automated, augmented, or accelerated? We expect the Head of Operations to model this mindset across the company — not just personally adopt it, but institutionalize it as the standard for how we run.
Requirements
- 8+ operations, business management, or a multi-function role, ideally within a startup or scaling technology company.
- Has built systems and processes from scratch, not just maintained existing ones.
- Has managed or coordinated people — directly or cross-functionally.
- Exposure to B2B SaaS or life sciences is a strong plus.
- Experience working closely alongside a CEO or founder is a strong plus.
- Strong written and verbal communication in English and Greek.
- Comfortable with process design, project management, and cross-functional coordination.
- Hands-on with productivity, HR, and ops tooling — quick to learn new systems.
- AI-native: uses AI tools daily as a default, not an experiment.

- Ownership without drama. When something breaks, you investigate, coordinate, and escalate with context. No panic. No blame.
- Empathetic with spine. You build genuine trust across the org. You also hold the line when it matters.
- Discreet. You are close to the CEO and will handle sensitive information across HR, finance, and strategy. Confidentiality is a default, not an effort.
- Low ego, high output. You do not need credit. You need results.
- Adaptive. Priorities shift fast here. You restructure without losing discipline.
- Direct. You say what needs to be said. No corporate hedging. No over-explaining.
