Job Description: Virtual Assistant (Sales Research & Outreach Support)
 
RYZ Labs is looking for a detail-oriented, proactive Virtual Assistant to support the Sales Team with lead research, list-building, data enrichment, and outreach. In this role, you will introduce LA Foods to prospective customers, help identify and verify decision- makers, gather accurate contact and company information, and schedule meetings for Sales Executives. You will also maintain clean CRM records (HubSpot) and ensure the
team has reliable prospecting data to drive pipeline.
 
Key Responsibilities:
 
- Research and build targeted prospect lists based on criteria provided by Sales
(industry, size, geography, buyer persona, etc.).
- Identify decision-makers and influencers; collect and verify contact details (name, title, email, phone, LinkedIn, company website).
- Enrich lead and account records with firmographic details (HQ location, number of locations, estimated revenue, employee count, services offered, notes).
- Maintain accurate, up-to-date prospect and account records in CRM (HubSpot), including de-duplication and standardized formatting.
- Support outreach workflows by preparing segmented lists, tracking responses, and
scheduling follow-ups as directed by Sales.
- Coordinate calendars and meeting logistics for Sales (availability checks,
confirmations, reschedules) when needed.
- Provide weekly status updates on research output (accounts added, contacts verified, segments completed) and flag data gaps or issues.
- Follow internal guidelines for data privacy, sourcing, and recordkeeping; ensure all information is gathered from appropriate sources.
- Monitor market/industry signals relevant to targeting (new locations, expansion announcements, funding, awards) and share insights with Sales.
- Create and maintain spreadsheets or shared trackers for prospecting activity as needed (segments, sources, coverage, and notes).
- Assist with ad-hoc administrative tasks for the Sales Team (document formatting, inbox monitoring, vendor/contact lookups) as assigned.


Qualifications:
 
- High school diploma required; associates or bachelors degree in Business, Communications, Marketing, or a related field is a plus.
- Experience in lead generation, internet research, list building, data entry, or sales/admin support (B2B preferred).
- Strong attention to detail and commitment to data accuracy (names, titles, emails,
phone numbers, and company details).
- Clear written and verbal communication skills for professional outreach coordination and internal updates.
- Ability to follow defined targeting criteria and qualification rules provided by Sales.
- Comfortable working with spreadsheets and CRM tools; HubSpot experience is a plus.
- Reliable time management, ability to prioritize tasks, and comfort working independently in a remote environment.
- Familiarity with sourcing best practices and professionalism when handling business
contact information.
