About Our Client
Our client is a joint venture dedicated to accelerating Vietnam’s energy transition by investing in an end-to-end electric two-wheeler (E2W) mobility solution. They aim to deliver a seamless consumer experience powered by an integrated digital ecosystem.
Role Overview
The Systems Manager will lead the design, implementation, integration, and ongoing operation of our client's core business systems, including:
- Enterprise Resource Planning system, or ERP
- Customer Relationship Management system, or CRM
- Dealer Management System, or DMS
- Related digital platforms and system integrations
The role will work closely with our client's business functions, JV partners, and external digital vendors to ensure that the systems are ready for launch, meet business requirements, operate reliably, and can support our client's future growth.
Key Responsibilities
1 - Systems Design and Implementation
- Develop our client's systems roadmap and implementation plan for ERP, CRM, DMS, and related platforms.
- Work with each business function to understand operational requirements and translate them into practical system solutions.
- Ensure that the systems support our client's launch requirements and future business growth.
- Recommend a phased implementation approach that balances business needs, timing, cost, and operational risk.
- Minimize unnecessary system customization and prioritize simple, scalable solutions.
2 - ERP Management
Lead the implementation and operation of ERP processes covering:
- Finance and accounting
- Procurement and purchase orders
- Customer and vendor management
- Vehicle, battery, swap-station, and spare-parts inventory
- Warehouse transactions
- Customer invoicing and dealer payment tracking
- Fixed assets
- Budget control and management reporting
- Ensure that appropriate approval workflows, access controls, segregation of duties, and audit trails are established.
3 - CRM Management
Lead the implementation and operation of CRM processes covering:
- Lead capture and qualification
- Lead allocation to Agent Hubs, dealers, retail stores, and sales teams
- Lead follow-up and conversion
- Test-ride registration
- Customer information and interaction history
- Marketing campaign management
- Customer inquiries and complaints
- Sales pipeline and performance reporting
- Ensure that customer data and lead-management responsibilities are clearly defined and properly controlled.
4 - Dealer Management System
- Lead the implementation and rollout of the DMS for our client's dealers, retail stores, and authorized workshops, covering:
- Dealer onboarding
- Vehicle ordering and inventory
- VIN tracking
- Pre-delivery inspection
- Vehicle Activation and customer handover
- Battery Subscription onboarding support
- Spare-parts ordering
- Service and repair records
- Warranty claims
- Technician certification
- Dealer performance and lead management
- Ensure that the DMS is practical and easy for multi-brand dealers to use.
5 - System Integration and Data Management
- Design and manage integrations between ERP, CRM, DMS, and external platforms.
- Define which system is the official source of information for customers, dealers, vehicles, inventory, orders, invoices, payments, service records, and warranty claims.
- Ensure that data flows accurately and consistently between systems.
- Establish standards for master data, data quality, reconciliation, retention, and access.
- Coordinate integrations with the joint venture partners, banks, payment providers, e-invoicing systems, websites, Zalo OA, warehouses, and other relevant platforms.
6 - Vendor Management
- Act as our client's main point of contact for all digital-system vendors.
- Coordinate vendor activities across design, configuration, integration, testing, implementation, maintenance, and support.
- Define clear scopes, deliverables, timelines, service levels, and acceptance criteria.
- Monitor vendor performance, project progress, system quality, and costs.
- Ensure that our client's retains ownership or control of system data, documentation, configuration records, and administrative access.
- Review vendor invoices based on agreed deliverables and actual completion.
- Escalate delivery delays, service failures, and unresolved issues when necessary.
7 - Testing and Launch Readiness
- Develop and manage the testing plan for all core systems.
- Coordinate functional testing, integration testing, data migration, user acceptance testing, and go-live preparation.
- Maintain a defect log and ensure that critical issues are resolved before launch.
- Arrange user accounts, access permissions, training, data loading, and system support before go-live.
- Develop temporary manual processes and contingency plans where systems are not fully ready.
- Lead post-launch stabilization and ensure that outstanding issues are resolved promptly.
8 - System Operations and Support
- Ensure the reliable day-to-day operation of our client's business systems.
- Establish support and escalation processes for employees, dealers, retail stores, and workshops.
- Monitor system availability, interface performance, user adoption, and recurring issues.
- Coordinate vendors to resolve incidents within agreed service levels.
- Manage system maintenance, upgrades, releases, backups, and recovery testing.
- Maintain user guides, system documents, support contacts, and operating procedures.
- Ensure system changes are tested and approved before deployment.
9 - Cybersecurity and Access Control
- Establish user-access controls based on job responsibilities and business needs.
- Ensure appropriate segregation of duties across procurement, payments, inventory, sales, warranty, and system administration.
- Conduct regular user-access reviews.
- Implement security measures covering passwords, multi-factor authentication, privileged accounts, backups, and incident management.
- Ensure vendors follow our client's data-security, confidentiality, privacy, and system-access requirements.
- Coordinate with Legal and relevant stakeholders on Vietnamese data-protection and cybersecurity requirements.
10 - Training and User Adoption
- Develop training plans for our client's employees, dealers, retail-store teams, and workshop users.
- Coordinate training materials, user guides, FAQs, and system demonstrations.
- Track training completion and system adoption.
- Identify incorrect system usage and arrange refresher training when required.
- Collect user feedback and prioritize necessary system improvements.
11 - Budget and Cost Management
- Prepare and manage the budget for system implementation, integration, licences, hosting, support, and enhancements.
- Monitor project and operating costs against the approved budget.
- Differentiate essential launch requirements from future enhancements.
- Review vendor proposals and identify opportunities to reduce unnecessary system costs.
- Provide clear cost forecasts and recommendations to management.
Qualification
Qualifications and Experience
- Bachelor’s degree in Information Technology, Information Systems, Computer Science, Business Administration, Engineering, or a related discipline.
- At least 8 years of experience in enterprise systems, digital transformation, or business system implementation.
- Proven experience implementing or managing ERP, CRM, and DMS or similar distribution and retail systems.
- Strong understanding of system integration, APIs, master data, user access, testing, and vendor management.
- Experience translating business processes into system requirements.
- Strong project-management and stakeholder-management capabilities.
- Experience managing multiple digital vendors and interconnected systems.
- Experience supporting system go-live and ongoing operations.
- Strong English and Vietnamese communication skills.
Preferred Experience
- Experience in automotive, electric vehicles, motorcycles, mobility, retail, distribution, or after-sales operations.
- Experience implementing systems across dealer or distributor networks.
- Knowledge of vehicle inventory, VIN tracking, PDI, vehicle Activation, workshop, warranty, and spare-parts processes.
- Experience working in a start-up, new-market entry, or business-launch environment.
