PURPOSE

The Scheduling Analyst supports a centralized course scheduling model by managing and analyzing course and classroom data, ensuring accurate and timely entry, maintenance, producing reports, and ensuring data quality and integrity for scheduling operations that supports student success. Working closely with academic departments and reporting to the Assistant Registrar for Scheduling, this role upholds data integrity and effective communication across the university ensuring student-centered scheduling.  

 

DESCRIPTION

Functional Area 1: Operations

Percent Effort: 60%

  • Produce a student-centered academic course schedule based on predictive and historical data analysis and collaborate with academic colleges and departments on revisions.

  • Manage the workflow with departments and colleges on course schedule revisions and classroom requests to ensure schedule accuracy and alignment with university policies.

  • Coordinate the integration and validation of data across scheduling software and student information systems in collaboration with IT once all course schedule workflows are finalized and approved with colleges and departments.

  • Perform data entry, validation, and edits for the university course schedule and room assignments within the student information system scheduling database and scheduling software.

  • Analyze course scheduling and classroom utilization data to recommend improvements or adjustments for efficiency each academic term, ensuring deadlines and standards are met.

  • Proactively perform audits to ensure the accuracy and integrity of schedule and classroom data in collaboration with campus stakeholders.

  • Serve as the primary point of contact for departments regarding questions or issues during schedule building.

Functional Area 2: Program Management

Percent Effort: 30%

  • Deploy and maintain ongoing efforts for optimized, strategic scheduling of academic courses in classrooms, class labs, and computer labs utilizing scheduling software data.

  • Maintain schedule documentation of data collection, quality assurance procedures, compliance with institutional policies, forms, and processing workflows for course scheduling and classroom assignments.

  • Prepare and distribute course listings, informational pages, and schedule-related communications for university publication.

  • Assist with compliance reporting, course enrollment oversight, and schedule verification for institutional and regulatory requirements.

  • Provide data-driven recommendations and technical support to departments regarding scheduling software, form, and processes.

  • Provide training and presentations on schedule development, software usage, data tools, and related administrative processes.

  • Maintain updates to training website and ensure timely responses within departmental email account.

Functional Area 3: Other

Percent Effort: 10%

  • Support Registrar’s Office events such as registration and commencement related activities.

  • Contribute to special projects and process improvements related to centralized scheduling.

  • Perform other duties as assigned to support other office functions.

 

QUALIFICATIONS

  • Bachelor’s degree in a related field.

  • Two (2) years of related experience.

  • Additional education may be used as a substitute for the minimum experience requirement:

    • Master’s degree in a related field.

  • Strong attention to detail and organizational skills.

  • Proficiency in Microsoft Office Suite.

  • Effective written and verbal communication skills.

  • Ability to work outside regular business hours and weekends as needed for commencement and University programs.

  • Ability to work remotely as requested by the university in times of inclement weather or other special circumstances.

  • Ability to maintain the security and integrity of critical infrastructure, which may include communications systems, computer networks and systems, cybersecurity systems, electrical grid, hazardous waste treatment system or water treatment system.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in Communication or Business.

  • Experience in academic scheduling, records, or higher education administrative support.

  • Experience with Banner Student Information System, Ad Astra scheduling and analytic software, or similar platforms.

  • Knowledge of university scheduling or records procedures.

  • Customer service experience in a higher education environment.

  • Familiarity with FERPA and student privacy standards.

SALARY:  Up to $5,000 Monthly (Up to $60,000 Annually, Approximately)

NOTE: Employment may be impacted by the Presidential proclamation issued on September 19, 2025 and the moratorium issued by Texas Governor Abbott on January 27, 2026.

  • This position offers the possibility of remote work.
