EQT is looking for a warm, detail-oriented Receptionist to be the welcoming face of our new Warsaw office. This is a visible, hands-on role for someone who already knows how to run a front desk well — and wants to grow as the office grows.
About the team
You'll be part of the Workplace team within HR Operations, reporting to the Office Manager. The Workplace function spans 23 countries and is united by a shared commitment to operational excellence and a genuinely people-first approach. In Warsaw, you'll be a central part of a collaborative, international office where no two days look quite the same.
About the role
As a Receptionist, you are EQT's first point of contact in Warsaw - an ambassador for our values and an essential contributor to the smooth running of the office. Your goal is to ensure that every interaction, every meeting, and every service touchpoint reflects the high standard EQT is known for.
Your responsibilities, among others:
- Welcome guests and visitors, always ensuring a friendly and professional first impression
- Manage the reception area and maintain meeting rooms and common spaces so they are tidy, well prepared and ready for use
- Order office supplies, groceries and other materials, and liaise with external suppliers and service providers
- Contribute to the smooth running of the office by responding to ad hoc requests from colleagues with care and efficiency
- Manage incoming and outgoing post and packages
- Assist with invoice handling and expense coordination (NetSuite; Rydoo), working with relevant colleagues and the finance team as needed
Regular hours are Monday to Friday, 08:30–16:30, with flexibility required during certain periods.
About You
You are a warm, reliable and detail-oriented professional who takes real pride in creating environments where people feel welcomed and well supported. You enjoy being the person colleagues can count on - proactive, composed and always one step ahead.
What you'll bring (must-have):
- 2–3 years proven experience in a receptionist, front-of-house, or comparable client-facing service role.
- Fluency in English and Polish, both spoken and written to a professional standard.
- A reliable, organised working style with strong attention to detail and the ability to manage your own workload independently.
- Comfortable with everyday office technology and quick to pick up new systems and tools.
Nice to have:
- Experience working in an international or multicultural office environment, ideally within financial services or a similarly fast-paced sector.
- Comfort working in a small team where responsibilities may occasionally extend beyond a defined scope.
- Experience coordinating or supporting meetings, events, or executive logistics.
- Knowledge of Google Workspace, Slack, Workday, Zoom
