About the Role
We are looking for a hands-on, detail-oriented People Operations Associate/Executive to own the day-to-day operational backbone of our People function. This role blends operational execution (payroll coordination, travel, onboarding, office logistics) with process ownership (compliance, data integrity, vendor management) and forward-looking process improvement (AI-enabled automation and workflow design). You'll be the go-to person ensuring employees have a smooth, well-supported experience, from their first day to their last, while helping us build smarter, more scalable People systems.
What You’ll Do
Payroll & Compliance Coordination
Act as the internal point of contact for our third-party payroll provider, ensuring accurate and timely payroll processing each cycle
Guide the team on timely payroll and Full & Final (F&F) settlement processes, including disbursements and vendor compliance requirements
Manage exit processing, final settlements, and statutory closures (PF, gratuity, tax, and other compliance filings as applicable)
Review and evaluate the performance of the third-party payroll vendor against process and compliance benchmarks
Employee Travel & Mobility
Own end-to-end travel coordination for employees, with strong working knowledge of US visa processes (given frequent engineer travel to the USA)
Coordinate travel logistics for developers/engineers for onboarding, client visits, and business trips
Coordinate interview travel logistics for candidates, ensuring a smooth and professional candidate experience
Onboarding & Employee Lifecycle
Manage onboarding of new hires — system access, documentation, and orientation into company processes
Maintain accurate employee data across HRMS, payroll, and compliance systems, ensuring consistency and integrity at every touchpoint
Maintain operational documentation and process consistency across all People-related systems and platforms
Office & Employee Experience
Manage day-to-day office operations (lunch ordering, pantry stocking, and other workplace essentials)
Plan and execute employee engagement activities that build culture and morale
Serve as a point of contact for employee queries related to People operations
Process Governance & Cross-Functional Coordination
Oversee process alignment, adherence, and exception management in coordination with Business HR, Finance, and Compliance teams
Identify and flag process gaps, escalating and resolving exceptions in a timely manner
AI-Enabled Process Improvement (Strategic Focus Area)
Identify opportunities to reimagine existing People Operations processes through an AI-first lens — reducing manual work, friction, and turnaround time
Evaluate, pilot, and operationalize emerging AI tools, agents, and automation platforms with measurable operational impact
Build and maintain scalable workflows/automations across payroll coordination, onboarding, travel, and data management
Drive systems integration initiatives to reduce handoffs and improve process continuity across HRMS, payroll, and compliance tools
Stay current with advancements in AI and automation, translating relevant innovations into practical, adoptable solutions for the People function
What You’ll Bring
2–5 years of experience in HR/People Operations, HR Shared Services, or a similar generalist operations role
Working knowledge of payroll cycles, statutory compliance (PF, ESI, gratuity, taxation basics), and F&F settlement processes
Prior experience handling international travel coordination, especially US visa processes (B1/B2, H1B familiarity is a plus)
Comfortable managing vendor relationships and holding third parties accountable to SLAs
Strong organisational skills with the ability to juggle operational tasks (office logistics) alongside strategic process work
Proficiency with HRMS platforms, spreadsheets, and general comfort with digital tools
Genuine curiosity about AI tools and automation platforms (e.g., Zapier/Make, AI agents, workflow builders) and how they apply to HR operations — prior hands-on experimentation is a strong plus
Excellent communication skills and a service-oriented mindset toward employees and candidates
High attention to detail, especially around data integrity and documents
Nice to Have
Experience working directly with a third-party payroll vendor in a coordination/oversight capacity
Exposure to HR tech stack integrations (HRMS, payroll, compliance tools)
Prior experience building or contributing to process automation within an HR/Ops function
