THE JOB

Aspen Global Change Institute is seeking a curious, self-motivated, organized, and professional Interdisciplinary Workshops Manager. This position at AGCI is a core member of AGCI’s Workshops Team, which facilitates the organization’s long-standing interdisciplinary workshop series on emergent global change topics.

The AGCI workshop series, now entering its 38th year, convenes global leaders in research and practice to improve understanding of global change, spur science-informed solutions, and cultivate communities that are inspired, integrative, and innovative. Workshops are designed in partnership with voluntary co-chairs, who are leading experts in their respective fields. Each workshop typically convenes thirty participants from across institutions, geographies, and disciplines for a five-day intensive program oriented towards community-building and collective impact. Workshop outputs and outcomes include publications in high impact journals such as Science and Nature Climate Change, the formation of new working groups and consortia, funded initiatives, and new ideas for research agendas.

The role serves as equal parts technical generalist, project manager, and facilitator for groups convening on diverse global change topics spanning climate change mitigation and adaptation, energy and Earth system modeling, food and nutrition, nutrient cycling, biodiversity conservation, water systems, artificial intelligence, human health, and more. We are seeking someone who is enthusiastic about advancing new and impactful interdisciplinary and transdisciplinary approaches, bridging across knowledge from the social, natural, physical, and engineering disciplines as well as practical experience from many professional fields (see recent publication on our approach).

The Workshops Team coordinates all stages of workshop topic selection, development, fundraising, program and roster development, logistics, week-of implementation and facilitation, as well as follow-on synthesis, evaluation, post-workshop reporting, and network management. The Team also plays an integral role in cultivating cross-cutting synergies with other AGCI teams and external networks. 

Position: Full-time, Part-time considered

Salary range: $85,000 - $100,000; This hiring range is based on the general US market - this range may be adjusted based on an individual candidate's geographic location.

Preferred start date: October 12, 2026

Location: The position can be remote anywhere within the United States.

Travel Requirements: Up to 8 trips per year.

RESPONSIBILITIES

Lead workshop facilitation and planning for up to 3 workshops per year:

    • Schedule and facilitate standing calls with expert co-chair leadership teams. Manage planning timelines, and ensure timely completion of key planning milestones through collaborative processes.
    • In partnership with co-chairs, develop interactive workshop agendas tailored to meet pre-defined workshop goals.
    • In partnership with co-chairs, develop a roster with representation across disciplines, institutions, geographies, demographics, career stages.
    • Provide week-of facilitation of workshop sessions, including speaker panels, interactive activities, field trips, breakouts and working groups.
    • Ideate on traditional and unconventional opportunities for each workshop to have impact at the science-policy-practice interface. 
    • Support workshop fundraising efforts through contributing to development of collateral and grant proposals. 

Lead workshops logistics for up to 3 workshops or events per year:

    • Develop and send participant invitations, registration and official communications.
    • Arrange workshop venues, accommodations, catering, transportation, audio/visual needs, and accessibility arrangements through coordination with vendors and participants.
    • In partnership with AGCI’s travel agent, oversee travel arrangements for all workshop participants in accordance with AGCI’s travel policies. 
    • Develop and manage event timelines, run-of-show documents, and onsite operations.
    • Serve as the primary point of contact for participants regarding event logistics.
    • Ensure events adhere to organizational policies - including federal funding requirements, procurement rules, sustainability and workshop guidelines.
    • Manage and familiarize vendors with AGCI processes, mission and event goals (travel agent, transportation, meeting venue vendors, hotel staff, on site coordinators, AV and video editor).
    • Coordinate with finance staff to ensure compliance, accurate reporting, and timely payments. 

Support development of post-workshop outputs and outcomes, and document key insights: 

    • Following workshops, organize and facilitate co-chair teams and working groups leads in scheduling follow-on calls, setting action plans, and following through on key deliverables to achieve outputs and outcomes defined during workshops.
    • Engage with external audiences (including strategic partners) to synthesize workshop takeaways, document knowledge, and prioritize key insights for broader amplification.
    • Prepare post-workshop synthesis of key takeaways in the form of grant reporting, and other strategic communications with AGCI’s networks, partners, and funders.
    • Support data preservation & analysis (archive) of workshop records.

 

Lead the Workshops team communications and network management:

    • Draw on insights from Workshops team impact, evaluation and learning strategy, to shape narratives and advance learning and communities at the science-practice-policy nexus. 
    • Promote goals, impact, achievements and value of AGCI programming through AGCI’s network, as informed by organization and program-specific strategy. 
    • Develop and manage approaches to activate AGCI’s network of thousands of experts across sectors of global change to extend network effects beyond workshop engagements. 
    • Produce and share communications about key workshop insights and programmatic narratives via LinkedIn and MailChimp.
    • Collaborate with Workshops team members on innovative approaches to interdisciplinary synthesis, convening, and network development.
    • Stay abreast of emerging topics in the global change landscape at the boundary of research and practice.

Requirements

  • Bachelor’s degree, required.
  • At least 5 (required, 7 preferred) years work experience in facilitation, conference planning, science communication, project management, network management, or similar
  • Passion for actionable science or the science-practice-policy nexus; familiarity with a range of global change science topics at the intersection of human and natural systems
  • Strong skills synthesizing themes from across social, natural, and physical science disciplines and/or practical experience from related professional fields
  • Proven facilitation skills, including the ability to adapt styles or strategies as needed to fit different groups and desired outcomes
  • Excellent communication skills, both written and verbal; able to maintain a warm, professional presence with partners and participants under pressure
  • Proven ability to manage complex, multi-day event logistics end-to-end such as venue, travel, catering, AV, accessibility, and registration, simultaneously and independently
  • Ability to work autonomously in a remote environment while staying closely coordinated with a remote team
  • Robust and creative experiences with network management, strategic partnerships, and collaborations
  • Proactive, decisive problem-solving skills who stays calm when plans shift
  • Deeply service-oriented - participants feel well taken care of before, during, and after every event
  • Extremely organized – able to juggle many moving pieces and manage projects with different groups, without dropping details
  • Genuinely curious and committed to continuous improvement and open to feedback
  • Detail oriented but able to move decisions and projects forward in a timely manner
  • Proficient with Mac OSX, Microsoft Office (Word, Excel), Google Drive (Docs, Sheets, Forms), Zoom
  • Familiarity with Salesforce, LinkedIn, MailChimp, Canva, Teams (or willingness to learn)
  • Ability to thrive in a small, supportive team that values curiosity, attention to detail, flexibility, growth, humor, open communication, self-motivation, and the power of integrating different ways of knowing

WORK SCHEDULE AND COMPENSATION

The anticipated start date is as soon as possible but no later than October 12, 2026. AGCI operates a physical​, primary office in Basalt, Colorado, with staff working from other states as part of its “Institute Without Walls” approach. Remote work within the United States is permitted in this role provided the location has reliable internet and cellular phone access.

Compensation: Anticipated salary range is $85,000 - 100,000. This hiring range is based on the general US market - this range may be adjusted based on an individual candidate's geographic location.
