We are a staffing agency recruiting on behalf of a U.S.-based private equity firm specializing in real estate investments. Our client is seeking a highly organized and proactive Executive Assistant to support the firm's President by managing administrative responsibilities, coordinating priorities, and ensuring day-to-day operations run efficiently.
This role is ideal for an experienced Executive Assistant who is comfortable supporting senior leadership in a fast-paced, confidential environment. While the position initially focuses on executive administration, there will be opportunities to take ownership of higher-value projects such as research, presentation preparation, and operational support as trust is established.
The successful candidate will be exceptionally organized, detail-oriented, and able to anticipate needs before they arise.
Key Responsibilities
Executive Support
- Manage the President's calendar, meetings, and scheduling across multiple priorities
- Coordinate domestic and international travel, including flights, accommodation, transportation, and itineraries
- Organize meeting agendas, prepare supporting materials, and ensure follow-up actions are completed
- Manage executive inboxes and assist with communication where appropriate
- Handle confidential business and personal administrative tasks with professionalism and discretion
Research & Project Support
- Conduct company, industry, and market research to support investment opportunities
- Prepare briefing documents for meetings with investors, partners, and stakeholders
- Assist with presentation and pitch deck preparation using PowerPoint or Google Slides
- Gather information, summarize findings, and present recommendations in a clear and concise manner
- Support special projects as directed by leadership
Administrative Operations
- Track action items and ensure deadlines are met across multiple projects
- Organize digital files, documents, and internal records
- Assist with expense tracking and administrative reporting
- Coordinate with internal and external stakeholders to keep projects moving forward
- Identify opportunities to improve workflows and administrative efficiency
Personal Assistance
- Assist with personal travel arrangements, reservations, and scheduling
- Coordinate personal appointments and administrative requests as required
- Handle occasional personal errands and executive support tasks with complete confidentiality
Required Qualifications
- Previous experience supporting C-suite executives, founders, or senior leadership
- Strong organizational and project coordination skills
- Excellent written and verbal English communication
- Advanced proficiency in Microsoft Office and Google Workspace
- Experience creating professional presentations and executive documentation
- Ability to manage multiple priorities while maintaining exceptional attention to detail
- Comfortable handling highly confidential information with discretion
- Self-motivated with the ability to work independently in a remote environment
Preferred Qualifications
- Previous experience supporting executives within private equity, investment management, financial services, real estate, or professional services
- Experience conducting business or market research
- Strong PowerPoint or Google Slides presentation skills
- Familiarity with project management tools such as Asana, Monday.com, ClickUp, or similar platforms
- Experience supporting fast-growing businesses or entrepreneurial leadership teams
