We are seeking an Executive Assistant to join our Team at Mercer. You will be joining us in building Oliver Wyman’s new hub in Lisbon.

This is a hybrid role that has a requirement of working at least three days a week in the office.

As an Executive Assistant you will provide executive level administrative support to 2 - 3 Partners.

Your key responsibilities will be: complex meeting schedule management, communication with external and internal clients, travel coordination, maintaining marketing CRM database and expense processing.

We will count on you to:

• Provide high-level executive support to 2–3 Partners, managing complex calendars, coordinating meetings, handling correspondence, preparing documents, processing expenses and timesheets, and arranging domestic and international travel.

• Support client development activities by maintaining CRM records, tracking business development opportunities and sales pipelines, coordinating follow-up activities, and proactively scheduling client meetings to strengthen relationships.

• Build and maintain strong relationships with internal stakeholders, clients, and executive assistants, ensuring seamless communication and an exceptional client experience.

• Coordinate office and administrative activities, including meeting logistics, client hospitality, marketing mailings, and maintaining organized Partner files and records.

• Collaborate with the Executive Assistant team by providing coverage, supporting onboarding and training of new team members, and contributing to process improvement initiatives.

What you need to have:

• 2–3 years of experience as an Executive Assistant supporting senior executives, preferably within a fast-paced professional services environment.

• Fluency in English and Greek, with excellent written and verbal communication skills and the ability to build relationships across multicultural teams.

• Strong organizational, prioritization, and multitasking skills, with exceptional attention to detail, discretion, and the ability to manage confidential information.

• Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience using Outlook and CRM systems is advantageous.
