About the Role

We are looking for a Customer Service Representative to join our team in Gdańsk!

This role is a great opportunity for an experienced customer service professional who enjoys building relationships, solving problems, and delivering outstanding support in a fast-paced international environment. You will play a key role in managing the end-to-end customer experience, ensuring smooth execution of the order-to-invoice process while collaborating closely with Sales, Logistics, Supply Chain, and other internal stakeholders. You will have the opportunity to develop your expertise within a global organization that values collaboration, continuous improvement, and customer excellence.

What You Will Do

As a Customer Service Representative, you will be responsible for supporting customers and internal stakeholders throughout the entire order lifecycle.

Your Responsibilities Will Include

• Managing the order-to-invoice process

• Communicating with customers and suppliers via email and phone

• Providing after-sales support to business customers

• Managing customer orders and maintaining order accuracy

• Monitoring and handling backlog alerts and requested backlog changes

• Supporting customer reserved inventory management

• Cooperating closely with Sales, Assets, and Logistics teams

• Driving on-time delivery performance in line with customer and company goals

• Building customer satisfaction through proactive communication and problem-solving

• Contributing to process efficiency and continuous improvement

This role follows standard business hours, Monday to Friday, with working hours of either 8:00-16:00 or 9:00-17:00. We operate in a hybrid work model, with 3 days per week spent in our Gdańsk office. To ensure a smooth onboarding experience and support your learning and development, the first three months are office-based.

Who You Are

You are someone who enjoys working with people and building positive relationships. You are organized, customer-focused, and comfortable communicating in an international environment.

Skills & Experience Required

• English at B2/C1 level, both written and spoken

• Good knowledge of MS Office applications, including Microsoft Excel

• Previous experience in Customer Service, Order Management, Sales Support, or a similar customer-facing role

• Strong resilience and the ability to remain calm and professional in challenging customer situations

• Ability to handle difficult conversations, customer escalations, and changing priorities in a constructive and solution-focused manner

• Strong communication and coordination skills

• Customer-oriented mindset

• Accountability and attention to detail

Nice to Have

• Polish language skills

• Experience working in an international business environment

• Experience with ERP systems (e.g., Oracle, SAP, or similar)
