​Job Description: 

The Philanthropy Operations Specialist will manage and lead implementation of Foundation’s key operations including donation and budget process, donor prospecting projects and donor acknowledgement program. The incumbent will also serve as primary operations support for all capital fundraising projects.

Position Summary:

• With the Executive Director of Philanthropy, manage the financial processing for all donations received by the Mary and John Elliot (MJE)
• Foundation and serve as lead business contact for the Elliot Finance Department. Serve as primary staff partner and business expert for
• Blackbaud Financial Edge. Serve as lead liaison with the Elliot Finance Department on all MJE Foundation gift entries, fund transfers, fund balancing, financial reporting, and record integrity.
• Provide financial reports to the Executive Director of Philanthropy.
• Research, prepare, and distribute balance reports to all Elliot department leaders with available funds AND processes financial disbursements, as needed.
• Manage the records, receipts, and disbursements of individual department funds in QuickBooks, exceeding over $1M in held assets. Interface with restricted fund accounts in concert with the Elliot Finance team.
• Maintain accurate reports for all financial and registration transactions of the MJE Foundation.
• Provide technical assistance to the VNA of Manchester and Southern NH with gift management and acknowledgement processes.
• Manage annual appeal donation process which includes recording and acknowledging all donations.
• Lead donation processing and donor acknowledgement program for special events and manages the acknowledgement process for all President Society donors.
• Coordinate processing and tracking of sponsorship invoices.
• Provide prospect research for the Executive Director of Philanthropy and Major Gifts and work with high-level volunteer chairs such as campaign
• chair and board chair; identify and refresh connections in advance of volunteers assuming their leadership positions.
• Proactively identify new and high-level annual and campaign major gift leads and prospects through electronic alerts, analysis, screening information, data mining techniques, push technology, demographic searches, etc.
• Prepare prospect reports for use by the Executive Director of Philanthropy and serve as prospect tracking and record keeping process lead.
• Maintain and analyze prospective and upgraded donor data and develop current and prospective donor lists and data. Produce current and prospective donor profiles and help determine appropriate solicitation ranges.
• Work with the Executive Director of Philanthropy in managing campaign prospects.
• Oversee the pledge process for all capital campaign donors.
• With the Executive Director of Philanthropy, manage the gift acknowledgement program for all Elliot capital campaign efforts.
• Support the Executive Director of Philanthropy with all capital campaign related programs (i.e. Home Hosted Events).
• Provide support for Elliot Community Benefit data management and Partnership programs implementation.
• Serve as primary support working with the Executive Director of Philanthropy for the MJE Charitable Foundation Board of Directors.
• Manage MJE Foundation office volunteers
