Job Summary
The Communications Specialist is responsible for supporting internal communications and engagement initiatives related to IT systems, projects, and digital tools across the bank. The role focuses on ensuring clear, timely, and user-friendly communication to help employees understand, adopt, and effectively use IT services and solutions. The role works closely with IT teams, project managers, and change partners to translate technical information into clear messages, develop communication materials, and support rollout and adoption activities.
Requirements
1. IT Communications Planning & Support
- Assist in the development and execution of communication plans supporting IT initiatives, system enhancements, and technology rollouts.
- Help identify communication needs, audience segments, timing, and appropriate channels for IT-related announcements and updates.
- Support the identification of potential communication risks, gaps, or dependencies that may affect user understanding or adoption.
2. Content Creation & Engagement
- Develop clear, engaging, and user-friendly communication materials such as announcements, emails, FAQs, quick reference guides, infographics, posters, and short videos.
- Translate technical or complex IT concepts into simple, business-friendly language suitable for non-technical audiences.
- Assist in maintaining and updating IT communication repositories, intranet pages, or knowledge bases.
3. Stakeholder Coordination & User Support
- Coordinate with IT project teams to gather accurate and up-to-date information for communication materials.
- Support the organization and promotion of IT-related activities such as system demos, roadshows, briefings, orientations, and learning sessions.
4. Adoption & Reinforcement Activities
- Support post-launch communication and reinforcement activities to sustain awareness, engagement, and correct usage of IT tools.
- Assist in gathering basic feedback from users (e.g., surveys, informal inputs) to assess communication effectiveness and user understanding.
- Contribute ideas to improve employee experience and engagement related to IT services.
5. Project & Administrative Support
- Participate in project meetings as needed and provide communication-related updates or inputs.
- Track communication deliverables, timelines, and approvals to ensure timely execution.
- Perform other communication or coordination tasks that may be assigned by the immediate supervisor.
Qualifications
- Bachelor's degree in Communications, Marketing, Information Technology, Business Administration, or a related field.
- At least 2–4 years of experience in corporate communications, internal communications, change management, project coordination, or a similar role, preferably within an IT or technology-driven environment.
- Excellent written and verbal communication skills, with the ability to simplify technical concepts into clear, user-friendly messages.
- Experience creating communication materials such as emails, newsletters, announcements, user guides, FAQs, presentations, infographics, and other engagement content.
- Strong organizational and project coordination skills, with the ability to manage multiple communication deliverables and meet deadlines.
- Experience coordinating with cross-functional teams and stakeholders to gather information and ensure communication accuracy.
- Familiarity with communication planning, stakeholder engagement, and user adoption initiatives for IT projects or digital transformation programs is an advantage.
- Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and collaboration tools such as Microsoft Teams or SharePoint.
- Experience using design or content creation tools (e.g., Canva, Adobe Creative Suite, or similar) is an advantage.
- Basic knowledge of intranet or content management systems is a plus.
- Strong attention to detail, problem-solving skills, and the ability to work independently as well as collaboratively in a fast-paced environment.
- Customer-focused mindset with a passion for improving employee experience and user engagement.
- Experience supporting IT projects, system implementations, ERP, digital transformation, or technology adoption initiatives is highly preferred.
