We are seeking a motivated and detail-oriented Administrative Assistant to join our team in Hamilton, Ontario. They will act as the first point of contact for visitors while supporting key administrative and financial functions that contribute to smooth daily operations.

RESPONSIBILITIES:

• Serve as the first point of contact for visitors, customers, and vendors, providing professional reception and administrative support
•  Maintain accurate records through data entry, document management, and general administrative processing
• Monitor office and operational supply levels, coordinating purchases to support daily business needs
• Process incoming invoices and prepare payments for authorization, ensuring accuracy and compliance with company procedures
• Support the shipment-to-invoice process by coordinating documentation and ensuring timely, accurate customer billing

QUALIFICATIONS:

• Administrative Certificate/Diploma, or other relevant education and/or experience
• Minimum of two years administrative experience
• Exceptional interpersonal skills with the ability to interact effectively at all levels
• Excellent communication and organizational skills; high attention to detail and ability to manage multiple tasks at the same time
• Experience Microsoft applications such as Word, Excel, Access, and PowerPoint
• Knowledge of IFS assets management system
