What’s the job? 

As the Academic Administration Coordinator, you’ll provide customer-focused academic support and course administration across the student lifecycle. You’ll work with academic leaders, faculty members and University stakeholders to support academic governance, course administration, student results processing, records management and project delivery. 

You’ll help ensure academic administration processes are accurate, compliant and focused on student success. You’ll coordinate governance requirements, maintain the integrity of course and student data, support course accreditation and review activities, and contribute to process improvements that strengthen academic quality and service delivery. 

Principal accountabilities include (but are not limited to): 

  • Implement faculty-wide academic administration process improvements across the student lifecycle. 

  • Coordinate the administration of academic governance committees, including Learning and Teaching, Examination, Academic Progression, Curriculum and Course Advisory committees. 

  • Maintain accurate and reliable course, subject and student data across academic administration systems and processes. 

  • Support compliance with relevant legislation, regulatory standards, professional requirements, and University policies. 

  • Support course accreditation, course review, material change notifications and professional association submissions. 

  • Develop and implement teach-out and transition plans, ensuring appropriate administrative coordination. 

  • Coordinate course and subject review processes, including data validation, reporting, and stakeholder updates. 

  • Ensure student results are processed and distributed accurately and on time, in line with policy and the academic calendar. 

  • Maintain the integrity of student records, academic transcripts, parchments, graduation documentation, and certification records. 

  • Manage antecedent institution and archived records, respond to student records enquiries, and undertake privacy and data integrity checks. 

  • Track project timelines, deliverables and risks, providing clear status updates, and coordinating follow-up actions. 

  • Contribute to internal audits, risk management, continuous improvement, and the development of high-performing academic administration practices. 

Who you are 

  • An experienced academic administration professional with at least three years’ experience in higher education, VET or a dual-sector environment. 

  • A bachelor’s degree or relevant equivalent experience, with qualifications in project, process or change management highly regarded. 

  • Knowledge of TEQSA, ASQA, the Higher Education Standards Framework, Standards for RTOs 2015, ESOS and the National Code 2018. 

  • Experience in student records, results processing, certification documentation, academic governance or course administration. 

  • Demonstrated ability to manage projects and deliver measurable process and service improvements, using Lean, Six Sigma or similar approaches. 

  • Highly organised and detail-focused, with strong data management, reporting and problem-solving skills and the ability to manage competing priorities. 

  • A collaborative and confident communicator who can build productive relationships with academic leaders, professional teams and other stakeholders. 

  • A student-focused, solutions-oriented professional who values quality, compliance, accuracy, teamwork and continuous improvement.
