Key Responsibilities:
- Log all claim notifications into the claims portal and ensure full documentation upload in accordance with GFH-OP-16-01.
- Issue customer acknowledgements and supplier notices using approved email templates generated from the claims system.
- Gather, review, and evaluate supporting documentation from internal and external sources to facilitate prompt investigation and resolution of claims.
- Ensure all verbal or WhatsApp communications are confirmed via email and recorded in the claim log.
- Maintain up-to-date status tracking and audit trails across all active claims, ensuring transparency and procedural compliance.
- Categorise and assist in the evaluation of claims per GFH-OP-15-00 (Claim Involvement Matrix), escalating appropriately.
- Support preparation, tracking, and documentation of settlements as per GFH-OP-18-00 Claims Settlement Protocol, including credit note handling.
- Assist in assigning supplier fault and updating vendor performance records as per GFH guidelines.
- Ensure all actions comply with Integr8’s ISO 9001 quality management system, ISCC EU framework, and internal claims governance.
Requirements
- Diploma or Degree in Business, Shipping, Maritime Operations, or a related field.
- Certificate in Bunkering Operations & Management (Lloyd’s Maritime Academy) and/or IBIA
- Minimum 2 years of experience in a bunker trading company or marine fuels environment, with exposure to claims handling, operations support, or vendor documentation.
- Strong attention to detail with a clear and methodical approach to document control.
- Proficient in written communication and confident in drafting structured, professional emails.
- Familiarity with marine fuel specifications (ISO 8217), MARPOL Annex VI, and commercial terms (e.g., BIMCO, supplier GTCs) is advantageous.
- Comfortable working in digital environments, including CRM systems, shared drives, and collaborative platforms.
- Alternative Fuels training is preferred
