Job Description

Summary

The Senior Associate, RFP Development leads Baxter’s Request for Proposal function by coordinating, developing, and completing customer-facing proposal responses, requests for information, and related submission materials. This role partners closely with Sales, Marketing, Legal, Pricing, Contracting, Commercial Operations, and other cross-functional stakeholders to ensure responses are accurate, complete, compliant with customer requirements, and submitted on time. The Senior Associate manages proposal intake, content management, workflow tracking, process documentation, and continuous improvement initiatives that strengthen the team’s efficiency and service to internal and external customers.

Essential Duties and Responsibilities

• Coordinate and complete RFP, RFI, vendor questionnaire, and proposal submissions in accordance with customer instructions, deadlines, and required formats.
• Review bid documents, instructions, response matrices, exhibits, and supporting materials to identify requirements, risks, owners, and follow-up actions.
• Collaborate with individuals in various levels of the organization, including Sales, Marketing, Legal, Pricing, Contracting, Commercial Operations, and subject matter experts to gather accurate responses, approvals, and supporting documentation.
• Develop, edit, and assemble clear, compliant, and customer-focused proposal content that reflects Baxter’s products, services, value proposition, and contractual position.
• Manage proposal timelines, task assignments, status updates, and submission readiness using team workflow tools and established review processes.
• Maintain and improve proposal templates, standard responses, knowledge libraries, process guides, and standard operating procedures to support consistency and scalability.
• Identify process gaps, drive improvements, and support technology-enabled solutions that increase team efficiency, reduce rework, and improve stakeholder experience.
• Communicate professionally with internal stakeholders to clarify scope, manage expectations, escalate risks, and ensure timely completion of proposal-related deliverables.

Qualifications

• Experience with RFP/RFIs, project management, contracting, sales support, or commercial operations processes.
• Excellent verbal and written communication skills with the ability to draft, edit, and organize professional customer-facing responses.
• Must be a self-starter and able to work proficiently with limited supervision.
• Ability to interpret customer requirements, manage detailed response instructions, and ensure submission accuracy and completeness.
• Demonstrated ability to collaborate across functions and levels of the organization.
• Strong organizational skills with the ability to prioritize competing deadlines, track multiple active projects, and work effectively with limited supervision.
• High attention to detail, sound judgment, and commitment to timely, accurate, and compliant deliverables.
• Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and workflow or content management tools; experience with proposal management platforms preferred.

Education and/or Experience

• Bachelor’s degree in business or related field
• 2+ years of related experience in RFP/RFI support, proposal management, sales support, contract administration, commercial operations, or a related business function required.
• Healthcare, medical products, pharmaceutical, or technology-enabled healthcare industry experience preferred.
• Experience working with cross-functional teams to gather content, approvals, pricing, contract language, and supporting documentation preferred.
• Experience with proposal content libraries, workflow management tools, or similar systems preferred.
• Analytical, project coordination, and problem-solving skills required.

The estimated pay range for this position is 80,000 to 100,000 annually. The estimated range is meant to reflect an anticipated salary range for the position. We may pay more or less within the anticipated range based upon market data and other factors, all of which are subject to change.

Individual pay is based upon location, skills and expertise, experience, and other relevant factors. This position is also eligible for an annual bonus.
