We are seeking a Senior Staffing Associate to support our Southwest team!
About the Job
As a Senior Staffing Associate at Access, you’ll serve as the staffing owner for assigned territories, making sure our programs are supported by reliable, prepared, and well-matched Event Staff. You’ll manage the full staffing lifecycle—from territory planning and scheduling to recruiting support, onboarding, live-event coordination, staff development, and operational closeout.
You’ll work closely with Directors of Events, Event Managers, and cross-functional partners to build strong staffing benches and ensure consistent staffing standards across your markets.
What You'll Be Doing
Own staffing plans, schedules, shift assignments, confirmations, roster management, and coverage planning for assigned territories.
Partner with Event leaders to match the right Event Staff to each program based on experience, availability, client needs, and operational requirements.
Build and maintain strong Event Staff rosters by supporting recruiting, onboarding, training, and first-shift activation.
Monitor staff performance and identify top performers, future Leads, and opportunities for coaching and development.
Support live events by managing callouts, no-shows, replacement staffing, agency coordination, and other real-time staffing needs.
Maintain accurate staffing, payroll, performance, and workforce records across systems such as Ubeya and Asana.
Manage post-event staffing closeout, including hours verification, expenses, staff ratings, restrictions, and follow-up actions.
Step in to support staffing needs across other territories during peak periods, large-scale events, PTO coverage, or other operational gaps.

Nice-to-haves:
2+ years of experience in event staffing, workforce coordination, hospitality or event operations, recruiting, HR coordination, or a related field.
Experience managing staffing plans, schedules, rosters, shift coverage, or high-volume hourly workforces.
Strong judgment when matching talent to program and operational needs.
Experience supporting multiple markets, territories, or fast-paced staffing environments.
Experience with recruiting, onboarding, employee communication, training, and workforce development.
Excellent organization, communication, problem-solving, and decision-making skills.
Experience with workforce management tools such as Ubeya, Asana, Microsoft Office, or similar platforms.
Flexibility to travel and provide evening, weekend, and live-event support as needed.

Assigned territories are consistently staffed with qualified, reliable Event Staff.
Uncovered shifts, late fills, callouts, and last-minute staffing challenges are minimized.
New hires are onboarded efficiently and successfully transitioned into active assignments.
Staffing decisions support employee development, equitable staffing practices, and exceptional client experiences.
Staff quality continues to improve through feedback, performance ratings, and development.
Payroll, staffing records, workforce systems, and closeout documentation remain accurate and timely.
Strong communication and collaboration are maintained across Staffing, Events, and other internal teams.
