Purpose of the Role:
The provision of an excellent finance service is critical to the achievement of the Business Service Centre. This role reports to the Collections Team Leader and is accountable for the end-to-end coordination of collections activity in line with Keyloop policies and procedures.
As a senior member of the collections team, the role holder will own the highest-value and most complex accounts, act as an escalation point for peers, and apply deep subject-matter expertise to support a range of client accounts, ensuring both business partners and clients receive the best possible support while maximising cash flow for Keyloop.
Key Duties & Responsibilities
- Portfolio ownership: Accountable for the collection of outstanding debts across the Rest of World (ROW) regions, with ownership of the highest-value, highest-risk, and most complex accounts in the portfolio.
- Client management: Proactively contacts clients by phone in a professional manner, maintaining and improving relationships while resolving complex, sensitive, or escalated queries.
- Accounts receivable control: Controls and manages all outstanding accounts receivable on a daily basis, investigating historical data to determine root cause of outstanding debt.
- Debt resolution: Takes proactive action to encourage timely payment, including negotiation of payment plans and resolution of disputed charges.
- Query & case management: Manages clients' queries and requests end-to-end, distributing statements and reminders as scheduled and keeping account status records fully up to date
- Cross-functional collaboration: Works closely with the billing team to resolve customer disputes, issues, and data updates, and partners with other functions as needed
- Reporting: Prepares and presents reports on collection activities, portfolio status, and progress against targets to the Collections Team Leader
- Legal & escalation support: Gathers and organises supporting documentation where legal enforcement is required, and confidently escalates potential financial risk to the line manager with clear evidence and recommended resolution
- Process improvement: Leads and actively participates in the continual improvement of collection processes, proposing changes to policy, workflow, or tooling where appropriate
- Mentoring: Acts as a point of guidance and informal mentor for junior collections specialists, sharing subject-matter expertise and supporting their development
- Stakeholder communication: Communicates and collaborates professionally with customers and Keyloop associates at all levels, including senior stakeholders
- Team initiatives: Provides support to the Collections Team Leader where required and leads or contributes to designated team initiatives and projects
