Job Summary
The Payroll Lead is responsible for managing all payroll activities, including any administrative activities performed by the Payroll Administrator. This position will lead and oversee the Payroll Administrator. This position will report to the Director, Payroll & Benefits.
Duties and Responsibilities
- Effectively administer the multi-state biweekly payroll for 1000+ employees. Ensure payroll transactions are processed timely and accurately and in compliance with federal, state, and local payroll tax and labor laws.
- Collaborate with offshore HR/payroll vendor to administer and fund the monthly payroll for offshore companies.
- Manage all federal, state, and local tax accounts and filings in conjunction with the payroll provider.
- Complete regular and thorough audits of all new hire data, employee lifecycle changes, or other payroll entries in the HRIS to ensure accurate employee records and payroll data is maintained.
- Oversee the maintenance of the employee files, collaborating with the HR compliance team to ensure we meet appropriate record retention standards and implement best practices.
- Provide training, oversight, and development to Payroll Administrator for day-to-day activities and responsibilities.
- Evaluate current payroll processes to ensure we are leveraging technology and automation where possible. Lead process improvements or project implementations where necessary to enhance workflows and procedures.
- Collaborate with internal finance department to analyze and resolve payroll/accounting related issues.
- Collaborate with internal benefits team for the administration of paid leaves of absence.
- Respond timely to employee questions, inquiries, and other customer service issues related to payroll administration, timesheets, paychecks, tax withholdings, etc.
- Oversee all payroll reporting for internal and external stakeholders.
- Lead any payroll education activities or resources to increase employee awareness around pay statements, tax forms, updating direct deposit information, etc. This may include conducting new hire orientation or trainings, creating job aids or tutorials for employees, organizing other educational opportunities, and maintaining any payroll documents/resources on the intranet.
- Support any payroll compliance activities, such as the annual 401(k) plan audit, internal SOX audits, Worker’s Compensation audits/filings, etc. Collaborate with the benefits team as necessary on mandated state and local benefit laws.
Experience and Education Requirements
- Undergraduate degree in Human Resources or related field required.
- 5+ years of relevant experience required.
- Experience with ADP products (ADP Workforce Now) and Workday highly preferred.
- HRCI or SHRM certifications a plus.
Skills and Abilities
- Must be self-directed and able to handle multiple tasks in a fast-paced environment.
- Requires an ability to understand objectives of work assigned in order to revise/adjust workload to address and prioritize immediate needs.
- Requires an ability to be proactive and to continually think ahead.
- Requires an ability to handle sensitive information in a confidential manner.
- Excellent verbal and written communication skills are required.
- Ability to form positive working relationships with all levels of employees.
- Must have a very strong attention to detail, time management and prioritization skills.
- Strong knowledge of Microsoft Suite Office products is required.
