Job Summary: Manager, Real Estate

As a member of our Corporate Real Estate Management (CREM) team, you’ll ensure our operational excellence for our organization and our Members. This position requires a deep understanding of the company’s business initiatives. You will use that knowledge to develop and implement facility management and workplace policies, procedures, and programs for a dynamic, multi-site organization. This position will require you to engage fully, communicate openly and forge close working relationships throughout our department and company. You will be responsible to prioritize and manage multiple tasks and responsibilities in a fast-paced, high-energy environment.

ESSENTIAL FUNCTIONS

  • Develop and implement Facilities Management plans, partnering with peer leaders, to align with business initiatives.

    • Manage facilities costs while maintaining service levels by analyzing the value of the service provided, renegotiating vendor contracts where appropriate, and ensuring that staffing is at cost effective levels by developing metrics to understand when additions or reductions are required.

    • Hire, manage, supervise and provide collaborative leadership to the Facilities Management team, which team is responsible for assuring quality experiences of Members/customers/employees through the appearance, operations and quality of AAA facilities.

    • Manage the full range of services, and related contractual relationships, required to improve and maintain AAA facilities, including janitorial, security, repair and maintenance, landscaping, infrastructure projects, and others.

    • Develop, maintain and manage Facilities Management policies and procedures for all Facilities Management functions.

    • Develop, maintain and manage operational standards for Facilities Management team members relative to performance of responsibilities, including site inspections, authorization protocols, quality standards, bidding requirements, vendor management and others.

    • Develop, maintain and manage services standards, Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) for all third-party providers of products and/or services (Vendors).

    • Ensure that the Facilities Management activities support overall business goals while meeting the needs and objectives of business units and functions.

  • Financial

    • Drive disciplined business practices to assure the right facilities management decisions are made to improve AAA’s real estate portfolio financial and operational performance.

    • Provide detailed annual operating budgets for all locations in AAA NCNU’s real estate portfolio.

    • Deliver comprehensive infrastructure project budgets; monitor and manage actual costs to keep projects on track with established budgets.

    • Receive, review, code and sign Vendor purchase orders and invoices, using AAA corporate processes.

    • Create cost analyses, establish expense-tracking systems, and execute cost reduction and containment.

    • Assist in the development of AAA’s internal skills and resources to better perform financial management of Facilities Management activities.

  • Administration

    • Manage and direct the day-to-day work of Facilities Management team members and functions.

    • Create Standard Operating Procedures (SOPs) and other documentation for operation of the portfolio.

    • Prepare and administer Request for Proposal (RFP) packages for vendor services.

    • Maintain accurate and current records relating to Facilities Management activities, projects, contacts, etc.

    • Generate regular weekly, monthly and ad hoc reports relative to Facilities Management activities.

    • Confirm that work by Facilities Management team members and Vendors is performed satisfactorily and corrected where deficiencies occur.

    • Guide development of space program plans, soliciting input from department leaders and user groups. Focus on effective space management and flexibility in configurations.

  • Relationship Management

    • Serve as the primary facilities management interface with all AAA employees for day-to-day facilities operations, with positive and prompt responses to employee needs.

    • Liaise as the CREM point of contact for interaction with AAA corporate business heads relative to their facility-based needs.

    • Actively interface with the VP, CREM and department peers and serve as a key member of the CREM leadership team to assure all CREM projects and activities include quality Facilities Management input and consideration.

KNOWLEDGE AND SKILLS

  • Detailed knowledge of facilities management best practices, vendor management, contract management, facilities finance operations, budgeting, and relationship management.

  • Detailed knowledge of, and experience with, contracts, including knowledge of leases and facilities related agreements.

  • Demonstrated ability to effectively manage a facilities management department, including proven vision, leadership and critical thinking skills to bring creative solutions

  • Analytical and financial skills necessary to develop and comprehend strategic plans and budgets.

  • Experience in preparing and managing operational and capital budgets.

  • Ability to simultaneously manage a large number of extremely complex projects on very tight timetables.

  • Ability to manage through ambiguity and build a strong internal network.

  • Proficient with MS Word, MS Excel, MS Power Point and MS Access (or a similar database application)

  • Refined interpersonal skills and demonstrated service orientation.

  • Detail-oriented with solid problem-solving skills.

  • Results-oriented with a desire to learn and support new technologies and processes.

  • Effective organizational skills with ability to set priorities manage multiple projects and meet deadlines.

  • Ability to effectively interface with all departments of the company in a highly professional manner.

EDUCATION, COMPETENCIES, CERTIFICATIONS/LICENSES

Minimum Qualifications

  • Bachelor's Degree in Business, Facilities Management, or related field.

  • 8 years of experience in facilities management and hands-on experience in managing retail branch networks, corporate facilities and outsourced service providers.

  • 5 years of Manager experience.

  • Valid Driver’s License

Preferred Qualifications

  • MCR (Master of Corporate Real Estate), CFM (Certified Facility Manager), or LEED AP / WELL AP credentials and certifications.

We target between minimum and midpoint of the range, and all offers are subject to a fair pay analysis - Compensation Range: Min: $158,958 - Mid: $198,697
