Job Purpose
The HR Operations Specialist is responsible for delivering operational People & Culture services across the employee lifecycle, ensuring a high-quality employee experience, compliance with local legislation and company policies, and accurate execution of HR processes.
Key Accountabilities
Hire to Retire Administration
Administer employee lifecycle transactions in Workday from hire to retire, including hiring, employee changes, transfers, promotions, compensation updates, leave administration, and terminations.
Partner with Talent Acquisition to ensure timely preparation of written offers, approval, issuance, acceptance tracking, and completion of all pre-employment requirements.
Coordinate pre-employment activities, including collection and validation of required documentation, background checks, medical examinations, work authorization reviews, and system setup requests, where applicable.
Partner with Payroll, Benefits, Talent Acquisition, IT, Facilities, Security, Ethics & Compliance, and other interested parties to ensure seamless execution of employee lifecycle activities, including Day-1 readiness.
Facilitate onboarding and orientation activities, providing guidance on company policies, procedures, systems, tools, and employee programs.
Process employee changes in Workday, including promotions, job changes, manager changes, compensation updates, cost center changes, organizational reassignments, and other employment-related transactions. Prepare and issue supporting documentation, letters, and contractual amendments where required.
Prepare separation documentation packages in accordance with requests received via Salesforce, considering applicable legal requirements and company policies, and initiate required actions for Payroll, Benefits, and other relevant interested parties following confirmation of employee separations.
Time & Attendance
Review and validate timekeeping data prior to payroll processing, identifying discrepancies and coordinating corrections with employees and line managers.
Provide guidance to employees and managers on time and attendance policies, procedures, system usage, and compliance requirements.
Audit compliance with working time regulations, rest periods, overtime limits, and other statutory requirements, bringing up risks and issues as appropriate.
Generate and analyze time and attendance reports, identifying trends, anomalies, and opportunities for improved compliance and operational efficiency.
Maintain accurate documentation and audit trails related to time and attendance activities in accordance with established controls and audit requirements.
HR Service Delivery
Process, review, and resolve Workday tasks and Salesforce cases, applying critical thinking and sound judgment to validate information, assess supporting documentation, and guarantee adherence with company policies and local legal requirements.
Maintain ownership of cases from receipt through resolution, ensuring timely responses, accurate documentation, and a high-quality customer experience.
Deliver services in accordance with global HR Service Delivery standards, policies, procedures, service level agreements (SLAs), and governance requirements.
Call out complex, sensitive, or high-risk cases as appropriate.
Maintain clear, accurate, and auditable case records, ensuring actions, decisions, communications, and supporting documentation are recorded consistently to support effective issue resolution and seamless handovers.
Identify recurring issues and improvement opportunities through case analysis and partner feedback.
Document Management, Reporting & Controls
Maintain employee files, HR transaction records, and supporting documentation in accordance with approved filing structures, naming conventions, retention schedules, data privacy requirements, and internal governance standards.
Implement key compliance metrics and employee lifecycle obligations through regular reporting and control activities, including vacation utilization and expiration, mandatory documentation, probation periods, and other statutory requirements.
Perform regular quality reviews to ensure data integrity, document completeness, and adherence to established controls and procedures.
Generate, maintain, and distribute operational reports, trackers, compliance registers, and control logs to support effective governance, risk management, and decision-making.
Support internal and external audits by providing timely access to documentation, reports, evidence, and process records.
Process Improvement & Operational Excellence
Find opportunities to simplify, standardize, automate, and improve Local Delivery processes, reducing manual effort, mitigating risk, strengthening controls, and enhancing the employee experience.
Support the development, review, and maintenance of local operating procedures (LOPs), FAQs, knowledge articles, and process documentation to ensure consistency and operational effectiveness.
Collaborate with Payroll, external vendors, and other interested parties to resolve complex process issues and implement sustainable solutions.
Participate in local, regional, and global projects and initiatives, supporting process transitions, system enhancements, digitalization efforts, policy implementations, and operational change activities.
Proactively identify compliance gaps, control weaknesses, recurring issues, and process improvement opportunities, contributing to the overall effectiveness of HR Operations.
Required Qualifications
Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.
Experience in HR Operations.
Solid knowledge of Time & Attendance processes, labor law requirements related to working time, and associated compliance controls.
Solid knowledge of Workday with hands-on experience supporting employee lifecycle transactions.
Proven ability to operate effectively in complex and fast-paced environments, managing multiple priorities, interested parties, processes, and changing business demands while maintaining high levels of accuracy, compliance, and customer service.
Advanced English proficiency, with the ability to actively participate in global meetings and support international employees and interested parties.
Preferred Qualifications
Spanish proficiency.
Knowledge of process improvement methodologies (e.g., Lean, Six Sigma, Kaizen, PDCA, or similar) and experience applying continuous improvement principles to enhance HR operations and service delivery processes.
Knowledge of case management platforms such as Salesforce.
