The Aviation Scheduling Manager is responsible for providing assistance to the aviation department. Must be able to work independently, have strong time management skills, be able to prioritize tasks to meet deadlines and work with a high level of attention to detail. Must know how to operate Microsoft programs such as Outlook, Word, Excel.
MINIMUM REQUIREMENTS
Education: High School Diploma or GED
Experience: 1-3 years of administrative experience
Travel: 0-5%
Work Schedule: Schedule may vary and can include, but is not limited to: nights, weekends, and holidays.
KEY RESPONSIBILITIES
- Develops relationships with leaders and others that facilitates open dialogue and trust.
- Creates and adjusts flight schedule for highest efficiency
- Manages trip, passenger, and pertinent data for the aviation department
- Effectively communicates with pilots, passengers, rental car companies, and airports on a daily basis via phone, text, and email. Including, but not limited to: alerts travelers of expected delays and new departure times, confirms rental car deliveries, coordinates group travel plans and ensures all parties have up-to-date itineraries.
- Works across multiple departments to meet the needs of the company.
- Maintains a professional relationship with outside vendors.
- Responsible for following up on all travel requests related to the company planes.
- Demonstrates strong verbal and written communication skills.
- Responsible for creating hotel and rental car reservations.
- Accurately allocates travel expenses.
- Prepares invoices, reports, emails, word processing and spreadsheets.
- Pays a variety of invoices in a timely manner.
- Schedules meetings, orders catering, office supplies, in-flight catering, or other services.
- Works evenings and weekends as needed.
- Performs other related duties as required and assigned.
