Reporting to the Director of Shared Financial Services, you will be responsible for overseeing office administration, facilities management, and operational processes to ensure a smooth and efficient workplace environment. You will drive administrative excellence, support employee experience programs, coordinate office operations, and manage vendor relationships while ensuring compliance with company procedures. You will also support the finance internship program, onboarding activities, and office-related projects and events.

Responsibilities

• Creating processes and overseeing administrative operations. Organize office operations and procedures
• Oversee finance internship program
• Keeping workspaces and information organized and accessible
• Updating employee, client, and company data
• Organize the office layout and order stationery and equipment
• Maintain the office condition and arrange necessary repairs
• Partner with HR to update and maintain office policies as necessary
• Coordinate with IT department on all office equipment
• Ensure that all items are invoiced and paid on time
• Provide general support to visitors
• Assist in the onboarding process for new hires
• Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
• Liaise with facility management vendors, including cleaning, catering and security services
• Plan in-house or off-site activities, like parties, celebrations and conferences

Qualifications

• 1+ years of experience in office administration or finance.
• A diploma or a Degree in Business Admin related field
• experience as an Office Admin, HR or Finance will be an added advantage
• Knowledge of Office Administrator responsibilities, systems and procedures
• Proficient in MS Office
• Hands on experience with office machines (e.g. fax machines and printers)
• Familiarity with email scheduling tools, like Email Scheduler
• Excellent time management skills and ability to multi-task and prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational and planning skills in a fast-paced environment
• A creative mind with an ability to suggest improvements
