Job Description:
The Scheduling Assistant provides administrative and communication support to the Scheduling team by assisting with day-to-day scheduling operations. This role helps ensure timely communication with employees, clients, and internal teams while supporting Scheduling Coordinators with schedule updates, coverage needs, and other scheduling-related tasks. Success in this role requires strong organization, attention to detail, excellent customer service, and the ability to manage multiple priorities in a fast-paced environment. Responsibilities:
- Support Scheduling Coordinators with daily scheduling activities and administrative tasks.
- Respond to phone calls, emails, chats, and text messages related to scheduling.
- Communicate schedule changes, cancellations, and coverage updates to employees and internal teams.
- Document scheduling communications accurately and maintain up-to-date scheduling information.
- Assist with employee availability, coverage requests, and scheduling follow-up.
- Deliver professional customer service while maintaining confidentiality and following established scheduling procedures.
Qualifications:
- High school diploma or equivalent required.
- At least one year of experience in administrative support or customer service within a healthcare, behavioral health, or related setting that required high-volume communication.
- Must be comfortable making phone calls
- Ability to communicate effectively through phone, email, chat, and text with strong verbal and written communication skills.
- Strong organizational, time management, and communication skills.
- Ability to multitask, maintain confidentiality, and work independently while collaborating with a team.
- Proficiency with Microsoft Office and/or Google Workspace.
