Job Description – Workplace Event Lead (IFM - Singapore)
Summary:
Workplace Event Lead duties and responsibilities include leading a team of Workplace Ambassadors, planning, coordinating, and executing workplace events that enhance client’ss employee engagement, foster client’s company culture, and support client’s organization objectives.
This role requires to work closely with Workplace Experience team (Soft-Service), Engineering team, Senior Facilities Manager and the client, contributing to larger workplace & event experience for all offices. While the role requires someone highly proactive and independent, it also requires strong project management skills, creative vision, and the ability to manage multiple events and stakeholders simultaneously while staying within budget.
Responsibilities:
- Team Leadership: This role provides direct supervision and mentorship to event ambassadors. Responsibilities include recruiting, hiring, and onboarding event team members, setting clear performance expectations and delegating responsibilities and empowering team members to make decisions, managing workload distribution to optimize team efficiency, fostering a collaborative and high-performing team culture, and conducting regular team meetings to align on priorities and share knowledge.
- Event Program Management: Workplace Event Lead oversees the complete portfolio of workplace events across multiple categories and locations. This encompasses managing large-scale corporate events including town halls, leadership summits, and annual celebrations, awards ceremonies, wellness initiatives and health-focused events and cultural celebrations, department workshops, facilitating team-building activities and support community outreach and corporate events.
- Budget Management: Managing substantial event budgets for the client is a core responsibility requiring basic financial acumen and strategic resource allocation. This includes developing annual event budgets, allocating resources across event portfolio based on strategic priorities, negotiating favorable vendor, tracking expenses and identifying cost-saving opportunities while maintaining event quality.
- Cross-Functional Collaboration & Stakeholder Management: Success requires effective collaboration with multiple departments and stakeholders throughout the client organization. This includes serving as primary liaison between events team and department stakeholders, collaboration with communications team on event messaging and internal communication, working closely Facilities team on space planning and operational support, coordinating with IT on technology infrastructure, audio-visual needs, and virtual platforms, and building relationships with different site stakeholders for multi-location coordination
- Crisis Management & Problem Solving: The ability to manage unexpected challenges and maintain composure under pressure. This includes serving as primary point of escalation for event-related issues and emergencies, making real-time decisions to address logistical challenges and vendor failures, implementing contingency plans for unforeseen circumstances, managing stakeholder expectations during crisis situations with professionalism, maintaining calm and providing clear direction to team members during high-pressure situations.
- Health & Safety Management: Ensuring all events meet safety standard, this includes developing comprehensive risk assessment frameworks for all event types, ensuring all vendors compliance with health and safety regulations including food handling, coordinating security requirements for high-profile or large-scale events, managing data privacy and information security for event registrations and attendee data and conducting post-event incident reviews and implementing corrective actions.
- Event Planning & Strategy: The Workplace Event Lead develops comprehensive event strategies aligned with client organizational goals and company culture. This includes managing annual event calendars, defining event objectives and success metrics, and researching emerging trends in workplace experiences.
- Event Execution & Management: Primary responsibility includes end-to-end management of all workplace events, from commencement to post-event evaluation. This encompasses venue selection, vendor management and relationship building, budget tracking, timeline creation and deadline management, and logistics coordination including catering and audio-visual equipment. The role also involves creating event materials such as invitations and signage, while managing event registration and attendance tracking.
Requirements:
- Minimum 3 year of supervisory experience in Soft Facilities Management, Hospitality Management, Marketing & Communications, or related field required
- Minimum Diploma Holder in Hospitality Management, Facilities Management, Business Administration or its equivalent
- A strong operational mindset with a genuine passion for building meaningful employee experiences
- Proven ability to manage multiple projects and competing priorities with exceptional attention to detail
