Our wholesale channel is a significant and growing part of the business — spanning UK department store accounts including John Lewis, Selfridges, and Fenwick; US partners including Nordstrom and Bloomingdale's; and developing EU and global distributor relationships. Getting product into the right stores, in the right quantities, at the right time is fundamental to how we grow, and this role sits at the heart of making that happen.
We're looking for a Wholesale & Operations Coordinator to join us on an interim basis — a hands-on, detail-oriented role that provides the essential administrative and operational backbone for our wholesale Account Manager. You'll be the person keeping purchase orders moving, tracking shipments, maintaining account records, and making sure nothing slips through the cracks. It's the kind of role where your accuracy and organisation directly impact the business, and where you'll get genuine exposure to how a multi-brand, international wholesale function operates day-to-day.
This is a brilliant entry point for someone who wants to build a career in wholesale, commercial, or operations — and who finds satisfaction in doing the detail brilliantly. You don't need to have done this exact role before; you do need to be highly organised, a quick learner, and comfortable getting stuck in.
Day-to-Day Responsibilities
- Raise, check, and progress wholesale purchase orders, liaising directly with the warehouse to resolve queries and ensure timely fulfilment.
- Maintain new season setup documentation for wholesale accounts, including EAN allocation, sizing and weight specifications, and product setup sheets.
- Support invoicing for wholesale orders, ensuring accuracy and timely processing through to completion.
- Coordinate shipment logistics for wholesale accounts, tracking orders from dispatch through to delivery and flagging issues proactively.
- Provide day-to-day administrative support for UK, US, and developing EU wholesale accounts, including John Lewis, Selfridges, Fenwick, Nordstrom, Bloomingdale's, and Amazon.
- Act as first point of contact for routine order and account queries, escalating to the Wholesale Manager where judgement or relationship input is required.
- Support system administration within D365 relevant to wholesale, including customer setup, order entry, and assisting with pricing and integration checks during the ERP transition.
- Maintain accurate and up-to-date records across wholesale accounts to support reporting and account reviews.
- Support stock accuracy at the Regent Street store, including helping coordinate deliveries in and out of site.
- Liaise with internal and external teams to gather information and assets needed to meet deadlines and critical path — including Design for seasonal decks and product imagery, PD and Merch for new season products and key details, and Marketing and Social for paid media assets.
- Coordinate with external partners including Cymbio (imagery), Pre Warp (data and analytics), and NuOrder (wholesale platform order issues).
- Analyse data to identify stock movements, gaps, and opportunities for retail accounts, working alongside the Wholesale Manager.
- Support the Wholesale Manager with seasonal sell-in appointments and retailer performance reviews.
- Prepare data and sell-through analysis for accounts.
- Contribute a point of view on stock strategy for coming seasons to drive growth and performance across wholesale accounts.
- Liaise with freight forwarders to coordinate inbound and outbound shipments and resolve delays.
- Coordinate stock deliveries into 3PLs and warehouses, ensuring bookings and paperwork are in place.
Requirements
The Requirements
- Strong administrative and organisational skills — comfortable managing a high volume of detailed, time-sensitive tasks without things slipping.
- Confident working with systems and processes — ideally with experience of an ERP or order management system, or a fast willingness to learn D365.
- Good working knowledge of Excel.
- Clear communicator — able to work closely with warehouse, finance, and the Wholesale Manager across a fast-moving environment.
- Comfortable working independently once trained, with sound judgement on when to escalate.
- Retail, wholesale, or logistics administration experience preferred but not essential.
