About the role

The Warehouse Operations Manager leads day-to-day operations at WeHero’s Bend, Oregon warehouse, which stores, assembles, and ships the materials for WeHero’s volunteer events. The role owns inventory, kit fulfillment, shipping logistics, and the event materials budget, so that each event receives complete, on-brand materials on time and within margin.

The Warehouse Operations Manager supervises the warehouse team and partners with WeHero’s event, sales, and account management teams, Finance, and the India Operations team. As needed, the role may travel to support WeHero events on site. Reliable fulfillment is what allows WeHero’s customers to offer their employees well-run volunteer experiences that benefit the communities they serve.

Key responsibilities

  • Manage daily operations at the Bend warehouse, including receiving, storage, kit assembly, quality control, and outbound shipping, so that event materials arrive complete and on time.
  • Lead, schedule, train, and coach the warehouse team, including contract staff, setting clear priorities and giving regular feedback on performance and development.
  • Own inventory planning and control, using event forecasts and sales pipeline information to keep the right materials on hand and reduce shortages, overstock, and waste.
  • Plan and coordinate shipping for domestic and international events, tracking delivery timeliness, the condition of materials on arrival, and cost.
  • Own relationships with suppliers and shipping and logistics partners: identify and evaluate new vendors, negotiate price, quality, and terms (including for events that use in-kind donations), act as the main point of contact, and review vendor performance regularly to resolve issues and decide when to renew or change partners.
  • Manage the event materials budget and purchasing in partnership with Finance, monitoring material and shipping costs and keeping events within target margins.
  • Document warehouse and shipping processes in standard operating procedures (SOPs), review them regularly with the warehouse team, and propose and adopt improvements that reduce errors and cost, including for events in new and international markets.
  • Partner with WeHero’s event, sales, and account management teams and the India Operations team to plan materials for upcoming events, support quick-turn event requests, and keep materials on brand.
  • Support WeHero events, as needed, including possible travel to event sites for material setup and on-site coordination, and arrange warehouse coverage with the team before any time away.

Skills & Competencies

  • 4+ years of experience in warehouse, fulfillment, logistics, or supply chain operations, including at least 2 years supervising staff or contractors.
  • Working knowledge of inventory management practices such as cycle counts, reorder planning, and forecasting from demand data, and experience tracking stock, orders, and costs in spreadsheets and an inventory or order management system.
  • Experience coordinating shipments with carriers or third-party logistics providers. Experience with international shipping and customs documentation preferred.
  • Experience managing a budget and purchasing, including negotiating pricing and terms with vendors.
  • Manages a team by setting clear priorities, delegating work, giving regular feedback, and following through on commitments.
  • Plans and tracks several event deadlines at once, adjusts plans when timelines change, and raises tradeoffs early with the teams affected.
  • Writes clear SOPs and status updates, and works with event, sales, and finance partners to reach shared decisions.
  • Regularly reviews how warehouse work gets done and proposes, tests, and adopts improvements.
  • Able to perform hands-on warehouse work on site, including lifting, packing, and moving event materials, up to 50 lbs.
  • Able to travel to event sites as needed (~10% travel), with or without reasonable accommodation.
  • Willingness to operate heavy machinery (i.e. forklift) as well as complete initial and ongoing certification, to comply with OSHA requirements.
  • Degree or certification in supply chain, logistics, operations, or business preferred; equivalent practical experience is valued equally.
