About the Role

As a Solution Architect at Ottimate, you are the primary owner of the technical scoping process for new customer engagements. This role exists at the intersection of sales and professional services: you ensure that every Statement of Work reflects an accurate, well-scoped solution before a customer signs, and that the implementation team inherits a clear, executable plan when they do.

This role was created in response to a deliberate strategic shift: the Sales Engineering team is moving away from SOW authorship to focus on demonstrations and ICP deal acceleration. That work now belongs to you. You will own the scoping conversation for complex and custom deals, serve as the technical authority in pre-implementation discussions, and build the scoping process infrastructure that allows Ottimate to take on more sophisticated implementations with confidence.

The right person for this role combines deep AP and ERP knowledge with the consultative instinct to run a discovery conversation and the precision to translate what they hear into a scoped and defensible SOW. You are not primarily an architect in the engineering sense - you are a technical scoping authority who understands how Ottimate works at depth and can map that to what a customer actually needs.

Key Responsibilities

Scoping and SOW ownership

• Own the end-to-end scoping process for complex, custom, and non-ICP deals - from initial discovery through SOW finalization and internal approval
• Lead technical discovery sessions with prospects, translating business requirements, ERP configurations, and AP workflows into a clear, accurate scope
• Author and validate SOWs for all custom work, including integration requirements, configuration complexity, data migration needs, and estimated effort in coordination with Product and Engineering
• Present SOW components on the weekly SOW review call with Product and Engineering, incorporating feedback and ensuring technical sign-off before commercial handoff
• Maintain and improve SOW templates, scoping frameworks, and discovery question banks that make the scoping process faster and more consistent over time

Technical authority and pre-implementation partnership

• Serve as the most credible technical voice in pre-implementation customer conversations - able to speak with authority on ERP integration behavior, PO matching logic, Item Validation configuration, and AP workflow design
• Define the handoff standard between scoping and delivery: ensure the PS and Implementation teams inherit engagements with complete documentation, clear scope boundaries, and no outstanding technical ambiguity
• Partner with the Strategic Consultant on existing customer expansions where scoping complexity warrants SA involvement
• Support the SE team on ICP deals when technical questions exceed standard demo depth - providing scoping input without owning the full SE motion

Process and infrastructure development

• Refine and own the scoping process as a function - not just as a set of individual deals, but as a repeatable, documented capability that scales as deal volume and complexity increase
• Define rules of engagement with the SE team on when and how scoping handoffs occur, in partnership with the CSO's direction on SE bandwidth allocation
• Develop internal reference materials - integration guides, configuration decision trees, ERP-specific scoping notes - that reduce reliance on tribal knowledge
• Track scoping accuracy over time: compare scoped estimates to actual delivery hours and use variance data to improve future scoping precision

Cross-functional collaboration

• Partner closely with the SE team to ensure clean, timely handoffs on deals that require custom scoping - being responsive to sales timelines without compromising scoping quality
• Work with Product and Engineering on JIRA ticket creation and hour estimation for custom work, ensuring approved scope is accurately reflected before contracts are signed
• Collaborate with the Director of PS on org-wide scoping strategy, capacity planning for complex deals, and the evolution of the SA function as the business scales
• Contribute product and integration intelligence back to the team - patterns in what customers ask for, where scoping breaks down, and where product gaps create delivery risk

Requirements

Experience

• 6+ years in solution architecture, technical pre-sales, implementation consulting, or a senior professional services role within a B2B SaaS environment
• Deep, hands-on experience with ERP and accounting system integrations - NetSuite, Sage Intacct, Acumatica, Microsoft Business Central, or QuickBooks Online
• Demonstrated experience authoring SOWs for complex software implementations, including integration scope, configuration requirements, and effort estimation
• Strong working knowledge of AP workflows: PO matching methodologies, invoice processing logic, payment infrastructure, and discrepancy resolution
• Experience operating at the boundary between sales and professional services - you understand what it means to scope something that someone else has to build

Skills and qualities

• Technical depth without technical arrogance - you can go deep on integration architecture and also explain it clearly to a CFO
• Precision in language and documentation - your SOWs do not leave room for misinterpretation, and your discovery notes are something an implementation team can actually use
• Consultative and curious in discovery - you ask better questions than the customer expects, and you listen for what they are not saying as much as what they are
• Accountable to accuracy - you treat a scoping miss as a personal failure, not an acceptable variance, and you build process to prevent the next one
• Collaborative with sales and implementation - you understand the pressure on both sides and operate as a trusted bridge, not a bottleneck
