Job Summary

The Facilities Executive is responsible for supporting the day-to-day operations and maintenance of the assigned facility, ensuring all maintenance activities are carried out efficiently and in accordance with contractual Key Performance Indicators (KPIs) and Service Level Agreements (SLAs). The role involves managing contractors and technicians, coordinating maintenance works, conducting inspections and audits, preparing cost estimates, and ensuring the facility remains safe, functional, and well-maintained.

Key Responsibilities

  • Support the Facilities Management team in maintaining the assigned facility and carrying out facilities management duties as required.
  • Ensure timely and effective maintenance of building systems in accordance with established KPIs and SLAs.
  • Manage facility maintenance activities, including building, mechanical and electrical (M&E), environmental cleaning, horticultural, and landscaping works.
  • Supervise and coordinate subcontractors, service providers, and technicians, including issuing work orders, monitoring work performance, and conducting audits and inspections.
  • Coordinate and administer work requests and work orders received from clients, ensuring all supporting documents are properly maintained.
  • Liaise with internal stakeholders, clients, contractors, and external agencies to ensure maintenance programmes and project schedules are executed smoothly.
  • Utilize Computerised Facilities Management (FM) systems for preventive and corrective maintenance, cost tracking, certification of works, reporting, and records management.
  • Prepare costing and quotations based on the Fixed Schedule of Rates.
  • Review and verify subcontractors' quotations, claims, and costing submissions.
  • Conduct routine building inspections, site audits, and condition assessments to ensure compliance with operational and safety requirements.
  • Attend to emergency maintenance issues and after-office-hour call-outs during standby duty.

Requirements

  • Diploma or Degree in Facilities Management, Building Services, Engineering, Estate Management, or a related discipline.
  • Minimum 2 to 5 years of relevant experience in Facilities Management, Property Management, or Building Maintenance.
  • Good knowledge of building maintenance operations, M&E systems, and contractor management.
  • Experience managing service providers, subcontractors, and maintenance personnel.
  • Familiarity with Computerised Maintenance Management Systems (CMMS) or Facilities Management software.
  • Strong coordination, communication, and stakeholder management skills.
  • Ability to prepare cost estimates, review quotations, and manage maintenance budgets.
  • Proficient in Microsoft Office applications.
  • Able to work independently and manage multiple priorities in a fast-paced environment.
  • Willing to perform standby duties and attend emergency call-outs when required.
