Role Overview
A Senior Projects Coordinator will be responsible for managing the collaborative processes with wider internal teams to develop project plans within the business unit in Kingdom of Saudi Arabia (Riyadh). This role ensures that projects are planned, monitored, and reported accurately, aligning with commercial objectives, compliance standards, and client requirements across regional and international portfolios.
Based in our Riyadh office, this role will be responsible for supporting a wide range of projects across the Kingdom. This role offers the chance to work in a fast-paced environment within a supportive and diverse team, to lead coordination, creation and maintenance of processed and tools which help with delivery (non-technical) of projects.
Key Responsibilities
- Maintain and help redevelop integrated project monitoring tools and schedules across all phases of project lifecycle.
- Create and maintain trackers in coordination with project managers and document control teams.
- Coordinate with the project managers and technical delivery teams for timely submission of deliverables.
- Lead combining and formatting of documents for internal review and client submissions in required formats.
- Attend client meetings, workshops and other formal engagements where required to assist the internal teams in maintaining accurate records of decisions, changes and follow ups with which project managers may require assistance with.
- Coordinate with internal and external finance teams to follow up on invoicing matters (which may require access to common platforms for submission of documents).
- Coordinate with legal team to arrange for contract reviews, follow ups (internally and externally) and amending records within CRM.
- Collaborate with project managers and discipline leads to establish realistic timelines and resource plans.
- Track project budgets against actual expenditures and discuss variances with project managers.
- Assist project managers with reporting (using internal tools) to monitor project resource allocations, utilization, and productivity across teams.
- Use, redevelop and maintain standard reporting tools for internal and client reporting processes dependent on projects’ needs.
- Provide training and development pathways for junior team members
Requirements and Qualifications
- Bachelor's degree in Business, Project Administration, HR or a related field;
- 8+ years of experience in project administration or project control functions in a consulting or engineering environment;
- Experience in building services, multiciliary engineering or specialized engineering disciplines would be preferable;
- Proven experience working with multinational project teams and clients;
- Proficiency in project controls software (Primavera P6, MS Project, Deltek, or similar) along with advanced excel, power BI or tableau for reporting and data analysis;
- Proficiency in dealing within platforms such as Aconex, Autodesk Construction Documents Management or BIM360;
- Strong interpersonal skills along with proven analytical and problem-solving abilities;
- Effective communicator with the ability to influence cross-functional teams; and
- Detail-oriented with a high standard of quality and accuracy and able to manage multiple projects and priorities in a fast-paced, matrixed environment.
