Who Are We Looking For?
The Senior Marketing Project Manager is responsible for the operational framework that enables planning, prioritization, and delivery of marketing projects at Vestwell. This role owns workflow management, project intake, and process optimization to keep marketing’s initiatives on track and aligned with the team’s priorities. This role also builds and maintains the operational systems that keep marketing running smoothly day to day, and is responsible for developing scalable processes that support organizational growth and execution excellence.
This role reports to the Vice President, Marketing Operations, and serves as the operational backbone of the marketing organization, providing visibility into all active initiatives, driving continuous improvement, and ensuring efficient collaboration across marketing, sales, product, and other business stakeholders to keep projects moving, working up and across the organization.
The ideal candidate has a track record of building the systems and structure a marketing team runs on, including designing the frameworks and processes that let multiple workstreams move at once, driving measurable gains in efficiency through process improvement, and maintaining the trackers and dashboards that give the organization one clear, reliable picture of what's in progress. This is a cross-functional, execution-focused role for someone who takes ownership of how marketing operates, brings AI into day-to-day work where it adds value, and earns trust and alignment across teams without relying on formal authority.
What Will You Be Doing?
Marketing Operations Execution
- Manage workflows, prioritization frameworks, and operational processes across the marketing team.
- Maintain visibility into active marketing projects and report on priorities, capacity, and risk.
- Own the end-to-end marketing request intake process and evolve it over time to keep pace with the team's priorities and improve efficiency.
- Monitor operational metrics and report on project throughput and delivery.
- Act as an operational right hand to the Vice President, Marketing Operations, and a trusted partner to marketing, creative, and other business stakeholders. Turn priorities into day-to-day actions, track follow-through, and surface risks before they become problems.
Project & Portfolio Management
- Manage a portfolio of marketing projects across multiple stakeholders and priorities.
- Own the full lifecycle of marketing projects, from intake and planning through execution and post-project review.
- Facilitate project planning, timelines, stakeholder alignment, and risk mitigation.
- Lead regular status meetings and portfolio reviews to keep projects on track.
- Identify and manage project dependencies and risks, and escalate issues when needed.
- Coordinate with internal teams and outside vendors to keep projects on schedule and on scope.
- Maintain a project tracker or dashboard that shows the status of every project in the pipeline.
- Monitor project boards to confirm work is moving and getting done, and follow up on anything that stalls.
Process Improvement
- Identify and implement process improvements using structured methodologies to drive continuous improvement.
- Build and maintain the structures that keep marketing’s work organized, such as trackers, SOPs, intake documentation, and a clear taxonomy across shared drives. Continuously refine these structures to keep pace with how the team works.
- Operationalize AI tools across processes and workflows to increase efficiency.
- Build processes that scale as the team’s workload grows, so execution stays consistent even as demand increases.
Requirements
The Necessities
- Bachelor’s degree in business, marketing, or a related field. Equivalent work experience considered.
- 7+ years of experience in marketing operations, project management, or a similar role, preferably in financial services, technology, or another regulated industry.
- Experience managing complex marketing workflows in a matrixed organization.
- Experience with process improvement methodologies, such as Lean Six Sigma.
- Proficiency with work management platforms such as Asana, Jira, Workfront, Wrike, or Monday.com, plus Microsoft Office and Google Suite.
- Working knowledge of the broader marketing technology stack, including content management, marketing automation, and analytics platforms.
- Comfort using AI tools, such as Anthropic’s Claude or OpenAI’s ChatGPT, to support reporting and administrative work, or general familiarity with AI tools more broadly.
- Proven success in managing multiple priorities across cross-functional teams.
- Strong analytical, communication, and stakeholder management skills.
- Detail-oriented, with a strong focus on accuracy and quality of work.
The Extras
- Lean Six Sigma certification (Green Belt or higher).
- PMP certification.
- Prosci change management certification.
- Experience with CRM platforms, such as HubSpot and Salesforce.
- Hands-on experience with additional martech tools, such as CMS platforms, marketing automation software, or analytics and BI tools.
- Previous experience in a chief-of-staff or similar operational support capacity.
This role will be based in the New York City office, and will be part of Vestwell's hybrid in-office operation.
The expected base salary range for this position is $105K - $120K base. This position is eligible to participate in the Company Bonus Pool and is eligible to receive new hire equity in the Company. Please note that salary bands are based on NY and other similar metro areas and may differ based on where the role is ultimately hired.

Interview Process

From there, the process varies by role but typically includes a skills or experience-based assessment, such as a coding interview, portfolio review, or deeper discussion of your relevant experience.
