  • Coordinate site visits and assess location, space, commercial terms, lease considerations and overall business suitability.
  • Maintain accurate portfolio information, critical dates, occupancy records and supporting documentation.
  • Identify portfolio risks, issues and opportunities, and prepare recommendations for review by the Head of CRE.

Leasing and Tenancy Management

  • Manage lease renewals, leasing discussions and commercial negotiations within approved parameters.
  • Coordinate Letters of Offer, tenancy agreements, renewals, amendments, execution, stamping and filing.
  • Monitor lease obligations, options, critical dates and landlord or tenant commitments.
  • Coordinate with Legal, Finance, Tax, Procurement, business stakeholders, landlords and tenants on leasing matters.
  • Manage assigned tenancy issues, arrears, defaults and contractual matters, with appropriate escalation of material risks.

Premises Lifecycle, Handover and Exit

  • Coordinate the commercial, contractual and documentation aspects of new premises, relocations, expansions, consolidations and exits.
  • Lead stakeholder coordination and closure tracking for premises handovers and landlord handbacks.
  • Review reinstatement obligations, coordinate landlord engagement and monitor completion of contractual requirements.
  • Work with the Property Management Specialist on technical inspections, defects, operational readiness, contractor activities and completion of works.

CAPEX and OPEX Budgeting

  • Coordinate portfolio CAPEX and OPEX budget preparation with the Head of CRE, Property Management Specialist and Finance.
  • Compile assumptions, lease-related commitments, project requirements and operating expenditure inputs.
  • Monitor expenditure against approved budgets and forecasts, maintain supporting records and prepare variance commentary.
  • Coordinate follow-up actions with Finance and relevant stakeholders on portfolio-related expenditure.

Local and Regional CRE Reporting

  • Ensure reported information is accurate, complete and supported by appropriate documentation.
  • Coordinate responses to assigned Local and Regional data requests and follow-up actions.

Rent Administration and Financial Coordination

  • Oversee rental invoicing, payment tracking, arrears follow-up and related reporting.
  • Maintain accurate lease-related financial records and coordinate discrepancies with Finance, landlords or tenants.
  • Monitor financial obligations arising from leases, renewals, deposits, utilities and premises exits.

Stakeholder, Vendor and Governance Management

  • Manage relationships with brokers, leasing consultants, landlords, tenants and transaction-related advisers.
  • Maintain lease, portfolio, transaction, budget-supporting and financial governance documentation.
  • Ensure appropriate audit trails, approvals and records are maintained for assigned activities.
  • Escalate significant commercial, contractual, financial or portfolio risks to the Head of CRE.

Business Continuity and Cross-Coverage

  • Maintain documented processes, reporting calendars and accessible portfolio records.
  • Provide secondary coordination support for identified FM and property-management activities during leave, vacancies, transition periods or peak workloads.
  • Work collaboratively with the Property Management Specialist to ensure commercial, contractual, facilities and operational considerations are appropriately coordinated.
  • Cross-coverage supports continuity and does not transfer or duplicate either role’s primary accountability.

Required Qualifications:

  • Bachelor's degree in Real Estate, Property Management, Facilities Management, Business Administration or a related discipline.
  • Approximately 5 to 7 years of relevant experience in Corporate Real Estate, portfolio management, leasing, property management or a related environment.

Preferred Qualification:

  • Experience in property sourcing, site assessments, premises handovers, relocations, reinstatement or exits is preferred.
  • Exposure to CAPEX and OPEX budgeting, forecasting, expenditure monitoring and management reporting.
