Job Description Summary

The purpose of this position is to support the Security team in the planning, execution, and monitoring of key activities to strengthen the security culture, ensure compliance with the Security Framework, and improve SQDC performance, with a focus on the structured management of projects, risks, and reports.

Job Description


Key Responsibilities
1. Security Budget

  • Support monthly expense tracking against the budget by category.
  • Monitor progress using the Smartsheet Security Budget dashboard or Excel.
  • Update forecasts and late estimates on the dashboard as directed by the Security Lead.
  • Maintain traceability and documentary evidence (requisitions, POs, receipts, invoices) in coordination with Procurement and Finance.

2. Security Projects

  • Support the updating of schedules in Smartsheet, including baselines, milestones, dependencies, and % of progress.
  • Assist in documenting and tracking project risks.
  • Schedule follow-up meetings and prepare minutes based on requests from the Security Lead.
  • Support the preparation of status presentations (.pptx) for stakeholders.

3. Security Framework

  • Collect compliance evidence and compile .pptx documentation.
  • Assist Framework element owners in identifying gaps and documenting findings.
  • Track corrective actions with owners and schedule reviews as requested by the Security Lead.

4. Security Audits

  • Conduct the quarterly Surveys audit and complete closures in ONTIC.
  • Print posters for the monthly global communications audit.
  • Track and update the WOR/MOR dashboard in Smartsheet with completed audits and vulnerabilities.

5. Reports and Dashboards (DOR/WOR/MOR Security)

  • Support the maintenance of Smartsheet dashboards.
  • Ensure information consistency and the quality of evidence for internal audits/reviews.

6. Security Workflows

  • Act as a backup for the Security Lead in defined approval workflows.
  • Identify bottlenecks, follow up, and escalate opportunities in a timely manner to prevent delays.
  • Analyze approval times and compile reports.

7. Security Awareness

  • Execute communication actions (invitations, reminders) and coordinate logistics for sessions and webinars.
  • Develop visual materials, one-pagers, artwork, etc., for the program.

8. Visitor Welcome at GEIQ

  • Send the weekly welcome email to visitors.
  • Maintain the GEIQ Welcome Center.

Main Deliverables

  • Updated monthly budget report (plan vs. actual, variances, actions, forecast) and Smartsheet or Excel dashboard updates.
  • Project schedules, minutes, action item lists, and risk status.
  • DOR/WOR/MOR reports and Smartsheet dashboard maintenance.
  • Updates to the Security Risk Register.
  • Evidence documentation for the Security Framework evaluation.
  • Evidence of the annual awareness program and participation/adoption results.
  • Supporting documentation for Security events and communications (one-pagers, meeting requests, Security protocols, artwork, etc.).

Desired Knowledge/Skills

  • Project Management (Basic)
  • Smartsheet (Intermediate)
  • MS Office (Intermediate)
  • AI Tools (Basic to Intermediate)

Qualifications:

  • Currently in an Engineering bachelor Industrial, Adm. Mechanical or Project Administration with no more than 1.5years to graduate
  • Strong communication and teamwork skills.
  • Problem-solving and analytical abilities
  • Enthusiasm for learning and professional growth.
  • Good communication in Spanish and English
