JOB SUMMARY:

As a Scale Operations Coordinator I at Dolese, you will perform scale and gate operation activities to support accurate ticketing and efficient customer transactions. This entry-level role supports daily operations by weighing trucks, generating scale tickets and bills of sale, entering transaction data, and maintaining accurate records. In this role, you will contribute to a positive customer experience by interacting with customers and internal teams while developing a foundational understanding of scale operations and transactional systems under direct supervision.

KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS:

  • Weigh trucks entering and exiting the site and ensure accurate capture of load information during routine operations.

  • Generate scale tickets, bills of sale, and related transaction documentation following established procedures.

  • Verify customer and vendor information at the scale house to ensure proper processing and site access.

  • Enter transaction data and process customer orders, including phone orders, in scale and ticketing systems, ensuring accuracy, completeness, and data integrity.

  • Operate plant transaction systems to process sales, shipments, and related activities.

  • Install and manage RFID tags to support vehicle entry and exit at the plant site.

  • identify products and materials during transactions to support accurate processing and assist customers as needed.

  • Work with customers to confirm order details and determine material requirements for accurate processing.

  • Respond to customer inquiries by clarifying requests and providing accurate information related to products, orders, and transactions.

  • Identify transaction or customer issues and take appropriate action, including escalating concerns as needed.

  • Submit scale tickets, production reports, inventory adjustments, and cash sales documentation in a timely manner.

  • Assist with basic cash handling activities and maintain accurate transaction records following company procedures.

  • Reconcile daily receipts, including cash, credit card, and check transactions, and complete required documentation accurately.

  • Support documentation requirements related to scale operations, including customer tax documentation, while maintaining accurate and organized cash transaction records.

  • Maintain the scale house and surrounding work area in a clean, organized, and safe condition.

  • Follow all safety, environmental, and MSHA regulations by consistently applying safe work practices and identifying potential hazards.

  • Regular, reliable attendance at the assigned worksite.

  • Perform other duties and responsibilities related to the nature of the job as assigned.

QUALIFICATIONS

EDUCATION & EXPERIENCE

  • High school diploma or equivalent required.

  • Experience in administrative, operations support, or customer service roles preferred.

KNOWLEDGE, SKILLS & ABILITIES

  • Demonstrate a positive attitude and willingness to learn and follow safety policies and procedures. 

  • Ability to follow instructions and work under direct supervision. 

  • Basic knowledge of APEX or similar transaction-based systems. 

  • Demonstrate basic accuracy and attention to detail in weighing, ticketing, and documentation activities through training and on-the-job experience. 

  • Demonstrate basic proficiency with scale and ticketing systems. 

  • Ability to perform accurate data entry in a high-volume environment. 

  • Proficiency in computer applications, including Microsoft Word and Outlook. 

  • Ability to complete required documentation, both in written form and within digital systems, with accuracy and attention to detail. 

  • Strong interpersonal and communication skills with the ability to interact professionally and respectfully with customers, vendors, and team members.  

  • Ability to work effectively as a team player in a fast-paced environment with a strong work ethic. 

  • Ability to learn quickly and adapt to changing work demands. 

  • Demonstrate reliability in attendance, work performance, and workplace behavior. 

  • Willingness and ability to perform physically demanding labor. 

  • Willingness to work a flexible schedule, including nights, overtime, and weekends as required. 

PHYSICAL REQUIREMENTS:

  • Lift objects of various dimensions and up to 30 lbs. of weight occasionally. 

  • Ability to repeatedly climb stairs and ladders. 

  • Ability to work in confined spaces. 

  • Ability to repeatedly balance, bend from the trunk, crawl, kneel, push and pull objects. 

  • Ability to repeatedly reach, squat, and tolerate prolonged standing, walking, and sitting. 

  • Ability to work near, around, or on light or heavy equipment. 

  • Ability to perform repetitive motions such as typing and data entry using a keyboard and mouse. 

  • Ability to communicate clearly and effectively.
