About the Role
The EPOS Rewards Administrator plays a critical support role within the EPOS Rewards Fulfilment team.
EPOS Rewards is a WhatsApp-native loyalty programme built on EPOS's proven V5 POS infrastructure, helping Singapore's SME merchants run personalised customer engagement, automated promotions, and data-driven retention — without the overhead of bespoke app development. The programme is gaining traction, and this team is scaling to meet it.
You will be the connective tissue between merchants, the project team, and internal operations: keeping documentation tight, onboarding running smoothly, and reporting on track. If you are someone who notices what is broken before being asked, takes pride in doing things properly, and wants to grow with a team that is building something — this role is for you.
Key Responsibilities
Grant & Compliance Administration
- Compile, organise, and prepare documentation for grant claim submissions (including PSG-related filings), ensuring accuracy and completeness ahead of deadlines.
Client-Facing & Onsite Support
- Provide onsite assistance to merchant clients as required — supporting implementation, troubleshooting, and relationship continuity.
- Comfort engaging SME business owners directly, including in Mandarin, Malay, or local dialects, is an advantage given our merchant base.
Merchant Onboarding Support
- Manage administrative touchpoints during merchant onboarding: document collection, data entry and validation, client follow-ups, and meeting scheduling.
- Support project implementation and customer service tasks as required.
Team Operations & Logistics
- Support day-to-day team operations including scheduling, room bookings, attendance tracking, procurement of tools and materials, and facilitation of payments such as artwork printing.
Reporting
- Prepare and maintain regular and ad-hoc reports — meeting minutes, business summaries, and inputs for biweekly through annual reporting cycles.
Process & Automation Support
- Contribute to internal process improvement initiatives: creating user guides, participating in user acceptance testing (UAT), and tracking system roll-outs as the team transitions routine tasks to automated workflows.
General Support
- Support operational or project needs as assigned.
Requirements
What We Are Looking For
- Strong attention to detail with a genuine eye for process gaps and improvement opportunities.
- Takes initiative without waiting to be asked — spots what needs doing and does it.
- Based primarily in office. Comfortable working onsite with clients as required; confident communicating directly with local SME business owners and staff.
- Multilingual ability (Mandarin, Malay, or local dialects) is a meaningful plus given our merchant base.
- Organised and dependable under a busy, multi-track workload.
- Adaptable — you will be joining a team that is actively changing, and that should excite rather than unsettle you.
