As Reception & Facilities Associate, you will help create a professional, inclusive and well-run workplace experience for colleagues, members, partners and visitors. This is a hands-on front-of-house and facilities role for an individual who enjoys variety, takes pride in high standards, and can balance excellent customer service with calm, organised operational support. 

WHAT YOU’LL DO (Duties) 

• Provide a warm, professional first point of contact for staff, members, contractors and visitors, including visitor sign-in, access control, office tours and health and safety briefings. 

• Maintain high front-of-house and workplace presentation standards across reception, meeting rooms, breakout areas, kitchens, printers and stationery points, escalating issues promptly where needed. 

• Manage access badges, meeting room bookings, assigned inboxes, incoming calls and facilities enquiries, ensuring requests are handled efficiently or directed to the right team. 

• Support workplace compliance by completing regular checks, including first aid kits, defibrillators, visitor records and other facilities documentation. 

• Support the Membership Programme by tracking member activity, actively assisting with workspace needs, managing allocated rooms and coordinating member deliveries where required. 

• Maintain accurate records across visitor logs, helpdesk systems and membership databases, producing regular reports on visitor numbers, helpdesk performance and member usage. 

• Build positive working relationships with employees, members, suppliers and contractors, identifying practical ways to improve processes and the overall workplace experience. 

Requirements

• Experience in a front-of-house, reception, facilities, office coordination or workplace operations role. 

• A confident, welcoming and service-focused approach, with the ability to communicate professionally in person, by phone and in writing. 

• Strong organisational skills, attention to detail and the ability to prioritise multiple tasks while remaining calm and responsive. 

• Confidence using Microsoft Office, including Word, Excel and SharePoint, with experience using helpdesk, ticketing, CRM or visitor management systems desirable. 

• Sound judgement and the ability to work independently / autonomously, escalating issues appropriately and maintaining high standards with minimal supervision. 

• A driven, determined,  proactive and positive individual with an improvement-focused mindset, with the flexibility to support a wide range of facilities and administrative activities. 

• Knowledge of health and safety procedures, visitor access processes, contractor coordination or membership-based environments would be an advantage. 

Working pattern: Permanent, office-based role in London, 5 days per week. Standard hours are 8:00am–4:30pm, with occasional flexibility required to support operational resilience and out-of-hours workplace activity. 

Salary: c. £29,000 – 34,000 subject to experience
