The Property Manager will oversee the day-to-day operations of the property, leading the site operational team. In this role, you will maintain and improve the upkeep of the building by ensuring an efficient alignment of site-level resources, while collaborating with internal stakeholders to implement corporate initiatives.

Leading all employee engagement efforts to deliver a consistent, high level of service and tenant experience, you will - in the absence of the General Manager - assume overall leadership of the building. This role is important because you set the tone for the tenant, customer and employee experience that defines a best-in-class office destination.

You Will Be Responsible For

Customer Relationship Management

  • Establish and maintain world-class customer relations with tenants, responding to and addressing daily inquiries regarding the property’s policies and procedures, and all other issues that may arise.
  • Effectively manage tenant relationships by being responsive, diplomatic and decisive in all interactions.
  • Manage the coordination, completion and communication efforts, in a timely fashion, with tenants before, during and after tenant fit-ups and any other construction project.
  • Be involved in industry associations and community initiatives, building and maintaining strong relationships with stakeholders, tenants, and union and non-union employees.

Property Management / Operations

  • Provide direction and oversight to both the administrative and engineering staff, leading and directing property teams so their duties are constantly aligned with property objectives.
  • Monitor progress and provide continuous feedback regarding performance.
  • Manage the property’s operations to maximize performance — plan, organize, direct and control the activities of the property, utilizing available resources (vendors, engineering staff, etc.).
  • Oversee and manage assigned capital expenditure projects from start to completion, with a focus on bringing projects in on time and on budget.
  • Conduct regular property inspections and oversee emergency response training.
  • Facilitate and champion the property-level employee engagement program to ensure a consistent brand experience throughout the building, and act as the liaison between property departments to ensure a clear and consistent flow of communication.
  • Support the General Manager with the coordination and execution of portfolio-wide initiatives, including vendor strategy, best operational practices and process improvements across multiple assets.

Financial / Accounting

  • Responsible for the preparation and accuracy of annual budgets.
  • Oversee, prepare and execute all monthly financial tasks, and prepare and analyze monthly financial reports and budgets, ensuring ownership-level accuracy and timely variance explanations.
  • Ensure accuracy of the AR and AP processes, and ensure timely distribution of annual pre-bill and year-end billings.
  • Review operating & RE Tax true-ups and pre-bills.
  • Provide supervision and support to the Tenant Coordinator and Financial Coordinator to ensure accuracy of billings and timing of AR collections.

Lease Administration

  • Review and approve lease-related payments: progress billing on work orders, check requisitions for tenant allowances, payments of brokerage commissions, and approval of feasibility studies for design work requested.
  • Interpret leases and ensure requirements are adhered to, and oversee the accurate entry of leasing budgets and forecasts.
  • Monitor and complete leasehold improvement allowances per the lease.
  • Work with the administration team (lease administrator and property administrator) to ensure current tenant lease profiles are entered into the system accurately.
  • Maintain a thorough understanding of lease obligations and ensure accurate execution of all financial and operational terms.

Reporting

  • Provide guidance and coordination across all aspects of the multi-year budget preparation and regular forecasting, including a sustainable operating budget and capital plan.
  • Collaborate with Leasing to provide information on occupancy, leasing activity and market positioning.
  • Coordinate the preparation of monthly reports and assist the General Manager during quarterly corporate updates with co-owner and executive teams.
  • Liaise with various departments (Legal, Marketing, Leasing and Development) to ensure the building’s brand and vision are maintained.

Required Skills & Experience

  • Proven people-leadership and supervisory experience directing administrative and engineering staff, with strong employee-relations, coaching and training skills.
  • Strong financial and analytical skills, including budgeting, forecasting and variance reporting.
  • Excellent communication, organizational and problem-solving skills, with a proven ability to build and maintain strong tenant, vendor and team relationships as a self-starter who thrives in a collaborative, performance-oriented environment.
  • Proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Preferred Skills & Experience

  • College degree and a minimum of 5 to 7 years of experience in commercial property management.
  • 3+ years of supervisory experience preferred.
  • Familiarity with tenant fit-up, construction practices and the completion of capital expenditure projects, on time and on budget.
  • Comfort operating in organizations that constantly evolve and adapt.
  • Industry designation(s) such as RPA or CSM considered an asset.

The annualized base salary ranges for the primary location and any additional locations are listed below. The base salary that is ultimately offered to the successful candidate will consider a wide array of factors including but not limited to the individual’s skill set. 

 

The expected salary range for this position is $97,000 - $125,000 per year.

 

You may also be eligible to receive an annual Incentive Award pursuant to our Short-term Incentive plan and our Long-Term Incentive plan (if applicable), and to participate in our group benefits and retirement plans – details on these elements of compensation are included within OMERS & Oxford offer letters.
