About the Role
We are looking for an exceptionally organized and process-driven Project Manager to manage commercial and industrial ERRCS (Emergency Responder Radio Coverage Systems) projects from bid through final closeout. You will coordinate project documentation, construction requirements, contractors, vendors, customers, engineers, and Authorities Having Jurisdiction (AHJs). You will manage multiple projects simultaneously, track deadlines and requirements, prepare and submit documentation, and ensure each project progresses smoothly from quote through completion. This role is ideal for someone with U.S. commercial construction project management experience who is highly organized, detail-oriented, and comfortable working with construction documents, permits, contractors, and regulatory requirements.
Key Responsibilities
Pre-Contract & Estimating
- Review and log incoming bid requests in the project management/CRM system.
- Review construction plans, drawings, specifications, and project manuals.
- Research and document project requirements, including construction type, square footage, stories, taxes, warranties, maintenance agreements, insurance, bonds, and other requirements.
- Research local AHJ requirements, fire codes, ERRCS policies, radio systems, frequencies, and permit requirements.
- Coordinate with AHJs to confirm enforcement, testing, plan review, permitting, and inspection requirements.
- Research contractor licensing and registration requirements.
- Support budgetary pricing and prepare project quotes.
- Maintain accurate project information and documentation in CRM and shared systems.
Contract Award & Vendor Coordination
- Review contracts and identify unusual or inconsistent requirements.
- Coordinate RFQs with RF engineers, installers, equipment distributors, and other vendors.
- Review system designs, vendor quotes, and Bills of Materials for accuracy and completeness.
- Coordinate pricing for equipment, electrical, fire alarm, roofing, and other project requirements.
- Track sales tax, shipping, warranties, maintenance agreements, and other project costs.
- Maintain executed contracts and project records.
Pre-Installation Documentation
- Prepare, format, organize, and distribute project submittals to customers, installers, and AHJs.
- Coordinate building plans, certifications, permits, equipment documentation, system designs, reports, and trade coordination documents.
- Prepare and maintain installer work orders and project documentation.
- Collect and verify vendor W-9s, COIs, OSHA certifications, and other required credentials.
- Coordinate customer-specific requirements such as insurance, background checks, drug testing, badging, and certifications.
- Confirm project and contractor licensing or permit requirements.
AHJ & Permit Coordination
- Submit project documentation to AHJs for formal plan review when required.
- Coordinate BDA transmission requests with applicable radio system administrators.
- Apply for required fire or building permits.
- Track plan reviews, radio approvals, permits, and inspections.
- Follow up with AHJs and relevant authorities to keep approvals moving.
- Maintain accurate records of regulatory and permitting requirements.
Installation & Project Coordination
- Coordinate with technical services, installers, trades, customers, and vendors throughout the project.
- Track equipment orders and delivery schedules.
- Coordinate responses to changes in building plans, construction timelines, and project requirements.
- Follow up on outstanding tasks, approvals, documents, and deliverables.
- Maintain project timelines and ensure stakeholders remain informed.
- Identify and resolve project issues before they impact deadlines.
Post-Installation & Closeout
- Prepare and distribute final project closeout documentation.
- Maintain system manuals and post-installation documentation.
- Coordinate commissioning reports, signal test reports, warranties, installation photos, and as-built system designs.
- Confirm completion of installer and trade coordination requirements.
- Coordinate project invoicing and supporting documentation.
- Follow up on lien waivers from installers and suppliers when required.
- Ensure projects are fully documented and properly closed.
Process Improvement & Automation
- Maintain and improve standardized project management processes, templates, and systems.
- Identify opportunities to reduce manual work and improve project workflows.
- Build and maintain organized documentation systems.
- Support automation initiatives to improve project tracking, reporting, and communication.
- Continuously identify ways to improve efficiency and accountability.
Required Experience & Skills
- Proven experience managing commercial or industrial construction projects.
- Experience managing multiple projects, budgets, timelines, contractors, and resources simultaneously.
- Strong understanding of U.S. construction project workflows.
- Familiarity with International Building Code (IBC) and International Fire Code (IFC).
- Strong project documentation and coordination experience.
- Experience working with contractors, vendors, customers, engineers, and regulatory authorities.
- Expert-level proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, and SharePoint.
- Strong experience with project management systems and/or CRM platforms.
- Excellent professional English communication skills, both written and verbal.
- Exceptional organization, follow-up, and attention to detail.
- Strong ability to work independently and manage competing priorities.
- Self-starter with the ability to learn new systems and processes quickly.

Preferred Qualifications
- Experience with ERRCS, PS-DAS, BDA, RF systems, fire alarm systems, or public safety communications.
- Experience with Procore, Autodesk Construction Cloud, or similar construction management platforms.
- Experience coordinating with Fire Departments, Building Departments, Fire Marshals, Building Inspectors, or other AHJs.
- Experience with construction permitting and plan review processes.
- Experience working with U.S.-based commercial construction companies.
Typical Day
A typical day may include reviewing new bid requests, researching project and AHJ requirements, updating project records, following up with contractors and vendors, coordinating RFQs and submittals, tracking permits and approvals, reviewing project documentation, communicating with customers, and updating project timelines and action items.
