The Project Coordinator performs administrative and project support duties for the T&D Engineering department of the Authority.

Essential job functions include, but are not limited to: 

  • Assists with the project management administrative processes during project planning, initiating, executing, monitoring/controlling, and closing. 
  • Assists with the construction administrative process, including but not limited to tracking costs and/or materials, processing vendor invoices, scheduling and facilitating meetings, and taking minutes.  
  • Prepares and enters purchase requests and purchase orders for equipment, materials, and services related to T&D project. 
  • Processes releases from purchase orders and contracts for equipment, materials, and services. 
  • Makes purchases using the P-Card system; prepares documents to account for purchasing as required. 
  • Assists with preparation and processing of project bid documents, as needed. 
  • Maintains project records; scans documents and files electronically; files paper copies as needed, ensures proper storage of project documentation. 
  • Assists in the creation and maintenance of project schedules for Project Manager(s). 
  • Completes reports and project related forms as necessary. 
  • Handles contract mailings, filing, etc. 
  • Schedules and leads meetings as well as coordinates project activities as required with other GRDA departments and vendors. 

 

Skills, Knowledge, Qualities: 

  • Requires competency with personal computers.  
  • Requires training and experience with Microsoft Office Excel, Word, Access, Outlook, PowerPoint, OneDrive, Teams, and Project. 
  • Requires the ability to learn and use MAXIMO and Dynamics 365, to enter and track material purchases. 
  • Requires the ability to follow processes and procedures. 
  • Must be competent in the use of the English language both in the written and verbal form. 
  • Must exhibit a positive, pleasant personality and a professional demeanor for interaction with the public.   
  • Requires the ability to prepare reports; to gather, review, and analyze data. 
  • Requires the ability to prioritize tasks and manage interruptions appropriately. 
  • Requires strong communication skills. 
  • Basic Project Management knowledge is preferred but not required.  

 

 

Education, Training, Experience: 

  • Minimum high school graduate with at least five years of experience in administrative office work. Experience as an administrative assistant preferred. 
  • Experience working in a deadline-driven environment. 
  • Experience showing strong organizational and multi-tasking skills. 

 

Certificates, Registrations, Licenses: 

  • Valid Oklahoma driver’s license 

 

Physical/Mental Requirements & Working Conditions: 

  • Business related travel may be required for training purposes and miscellaneous meetings. 
  • Must be able to handle weights up to 30 lb. on an infrequent basis. 
  • Requires bending as needed for filing of documents. 
  • Work is usually performed in an office environment. 

 

Other information: 

  • Position is located at the T&D Headquarters near Pryor, OK.  Trips to other locations and GRDA facilities will be required on an infrequent basis.
