Role Summary
The Project Coordinator serves as the central operational hub for project intake, release readiness, process standardization, and training alignment across the department. Reporting directly to the Director, PMO, Training & Tech Adoption, this role acts as a process and pipeline owner rather than a tactical administrative assistant—driving quality control, documentation compliance, and cross-project operational handoffs. Designed as an accelerated early-career launchpad, this role offers structured mentorship in Change Management and Business Analysis for an aspiring project or operations leader.
Key Responsibilities
1. Release Governance & Deployment Readiness
(Note: "Deployment" refers strictly to release readiness coordination and operational handoffs; technical infrastructure deployments are executed by the Infrastructure Team.)
Readiness Audits: Audit upcoming releases prior to go-live to verify completed prerequisites, including User Acceptance Testing (UAT) sign-offs, technical specs, and Standard Operating Procedures (SOPs).
Training Alignment: Evaluate release impacts, categorize training needs, and facilitate handoffs to the Training Team to align target go-live dates with training delivery.
Tracking & Optimization: Own the cross-project release schedule, track launch windows and dependencies, and partner with leadership to modernize legacy coordination workflows.
2. Intake & Portfolio Compliance
Intake Execution: Enforce the organization's project intake framework using established tools to ensure proposals meet baseline business case and charter requirements.
Governance Compliance: Review project updates, risk registers, and intake packages, returning incomplete materials to Project Managers prior to governance reviews.
3. Business Analysis & QA Support
Process Mapping & SOPs: Document SOPs, draft functional requirements for internal tools, and map current versus future-state workflows.
QA Coordination: Assist with UAT planning, draft test scripts based on requirements, and perform pre-release verification checks.
4. Change Management & Adoption (Strategic Apprenticeship)
Strategy Support: Partner with leadership to draft stakeholder impact assessments, communication plans, and training strategies.
Adoption Monitoring: Track post-change adoption metrics, gather end-user feedback, and help teams adapt to new processes.
Required Qualifications & Competencies
Experience: 1–3 years in project support, operations, or coordination; CAPM or equivalent entry-level project management coursework is a plus, but not required
Tools & AI Literacy: High proficiency in Google Workspace (Docs, Sheets, Slides, Forms, Drive) and practical experience using Generative AI tools (e.g., Google Gemini) to synthesize notes and accelerate documentation.
Detail & Compliance: Exceptional organizational skills with a strong focus on process compliance and documentation completeness.
Communication & Diplomacy: Assertive, professional style capable of enforcing process gates and deadlines with Project Managers and senior peers.
Growth Mindset: Strong eagerness to build expertise in Organizational Behavior, Change Management, and project delivery frameworks.
