What we want  

The Program Coordinator I, under general supervision, works collaboratively with campus leadership to coordinate, plan, develop and implement programs & activities for Texas A&M Vashisht College of Medicine's (VCOM) undergraduate medical education Rural Medicine Track to include strategic planning, education and accreditation responsibilities. Special emphasis is placed on clerkship coordination, student development, mentorship advising and course management.

Travel: This position may require up to 10% or more travel
Schedule: This position may require work beyond normal office hours and/or work on weekends.

Please note: This position is grant funded; future employment may be contingent upon future funding.  


Responsibilities:

Clerkship Coordination:

  • Assists with course leadership to create undergraduate medical education (UME) curriculum for the third year of medicine consisting of, but not limited to, course requirements, threads and electives in a longitudinal integrated format

  • Coordinates longitudinal integrated curriculum (LIC) in an e-learning environment utilizing various learning management system (LMS) applications as well as additional required software applications including, but not limited to, Canvas, Elentra, and a Time Clock system

  • Prepares proposals for the Integrated Medicine Year-At-A-Glance to be presented and approved by the Clerkship Leadership. Coordinates with others to create new programs.

  • Plans and implements programs by collaborating with team members to design a schedule that meets the needs of each core clerkship

  • Uses negotiation skills, creative thinking, knowledge of short- and long-term goals and strategies for a final product that is functional for students and faculty and ensures that all curriculum requirements are included in program offerings

  • Assists in establishing goals and objectives

  • Coordinate activities related to educational conferences, meetings, lectures, clinical learning sessions, examinations and special events as directed by curriculum and leadership

  • Monitors student well-being and performance to identify and assist individuals facing academic and/or personal difficulties. Participates in the national organization for related clerkship

  • Assist students with resources available to optimize their learning opportunities within the program

  • Assists with development of syllabi, training materials (delivers training), reports on program activities for each clerkship

  • Maintains strict confidentiality with regards to FERPA and HIPPA documentation, i.e., student records

Preceptor Relationship Management:

  • Develops, liaises, and maintains relationships with community physicians, clinical staff, affiliate partners, i.e., healthcare systems, clinics, and community organizations

  • Assists with recruitment of clinical faculty to provide educational experiences for medical students

  • Provide liaison support between faculty, students and administration

Elective Coordination:

  • Research, develops, plans and coordinates various elective program offerings for students in the geographic rural area

  • Supports and coordinates VCOM projects and programs external to assigned clerkship(s). May include, but is not limited to, rural geographic area


Policies and Procedures:

  • Utilizes solid understanding and knowledge of UME education policies and procedures and VCOM medical student handbook guidelines

  • Assists in carrying out VCOM policies and procedures

  • Follows established communication channels concerning inquiries and issues

Accreditation:

  • Compiles and maintains data to ensure compliance with institutional and program accreditation requirements, i.e. Liaison Committee on Medical Education (LCME)

  • Coordinates and prepares materials for continued institutional accreditation

  • Other duties as assigned

Qualifications:

Required Education & Experience:

  • Bachelor's degree or equivalent combination of education and experience in higher education administration.

  • Two (2) years of related experience in medical education and/or experience in higher education administration

Preferred Qualifications:

  • Master's degree

  • Three or more years of related experience in medical education and/or experience in higher education administration

  • Experience with learning management systems (i.e. eCampus, Canvas)

  • Proficiency in MS Word, Excel, PowerPoint and Outlook

  • Ability to multi-task and work cooperatively with others

  • Knowledge and skill in Canva, Advanced Excel, Microsoft Teams, and Zoom

Knowledge, Skills, and Abilities:

  • Ability to multi-task and work cooperatively with others.

  • Excellent verbal and written communication skills

  • Ability to present and interface with administrators at all levels.

  • Working knowledge of word processing, spreadsheet, and database programs

  • Ability to develop and prepare presentations.

  • Ability to independently plan, schedule, carry out and meet myriad deadlines.

  • Strong problem solving, conflict management and troubleshooting skills.

  • Ability to mediate conversations.

  • Strong organizational skills
